Office Administrator / Marketing & Social Media Coordinator

We are seeking a highly organized, energetic, and detail-oriented Office Administrator / Marketing & Social Media Coordinator to become an integral part of our growing team. This role is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and takes pride in keeping an organization running efficiently. As a key member of our operations team, you will oversee daily office administration, coordinate internal activities, support recruiting and onboarding efforts, assist with customer and vendor communications, and help grow brand through engaging social media and marketing initiatives. This is an excellent opportunity for someone who is equally passionate about organization, customer service, and creative marketing.

Essential Responsibilities
  • Oversee the day-to-day operations of the corporate office to maintain a productive, organized, and professional work environment.
  • Manage office supplies, equipment, vendors, and facility-related needs.
  • Process invoices, assist with purchasing, and maintain administrative records.
  • Coordinate employee onboarding logistics, including equipment, workspace preparation, and administrative documentation.
  • Maintain company forms, policies, procedures, and internal documentation.
  • Assist with scheduling meetings, coordinating conference rooms, and organizing company calendars.
Marketing & Social Media
  • Create, schedule, and publish engaging content across LinkedIn, Facebook, Instagram, and other social media platforms.
  • Develop content that showcases company culture, customer success stories, employee achievements, community involvement, and technology solutions.
  • Assist with website updates, email campaigns, newsletters, recruiting campaigns, and marketing materials.
  • Monitor social media engagement and analytics while identifying opportunities to strengthen the company's online presence.
  • Coordinate photography, videos, and promotional content for company events and initiatives.
Recruiting & Employee Engagement
  • Coordinate interview scheduling and candidate communications.
  • Support recruiting efforts by posting job opportunities and promoting the Kinetix Solutions brand.
  • Assist with new hire onboarding and orientation activities.
  • Coordinate employee recognition programs, company events, volunteer activities, and team-building initiatives.
Customer & Vendor Relations
  • Serve as a professional first point of contact for customers, vendors, and visitors.
  • Coordinate communication between departments to ensure administrative tasks and projects stay on track.
  • Build and maintain positive relationships with clients, partners, and suppliers while delivering exceptional customer service.
Process Improvement
  • Identify opportunities to improve administrative workflows and office efficiency.
  • Assist with implementing new systems, technologies, and operational processes.
  • Maintain organized documentation and help standardize administrative procedures across the organization.
Qualifications:
  • Excellent organizational, multitasking, and time management skills.
  • Outstanding written and verbal communication abilities.
  • Strong attention to detail and ability to work independently.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.
  • Experience with Canva, Adobe Express, or similar graphic design and content creation tools preferred.
  • Experience managing business social media accounts and creating professional digital content.
  • Familiarity with CRM, recruiting software, or project management platforms is a plus.
  • Associate's or Bachelor's degree in Business Administration, Marketing, Communications, or a related field preferred (or equivalent experience).
