What You'll Do

The Rooms Controller plays a key role in the daily operation of the Front Office, with primary responsibility for managing room inventory, room assignments, and the overall readiness of the house. Working closely with Front Office, Housekeeping, Reservations, and Sales, this position ensures arrivals are thoughtfully planned, room inventory is optimized, and guest preferences, loyalty recognition, VIPs, and group commitments are delivered whenever possible.

While the role has a dedicated focus on Rooms Control, the Rooms Controller remains an integral member of the Front Office team and is expected to support Front Desk operations, guest service, and other departmental needs as business levels require. This role combines operational planning with guest-facing responsibilities to help deliver an exceptional guest experience.

Some of your responsibilities include:

  • Manage daily room inventory and room assignments to maximize operational efficiency, guest satisfaction, and available inventory.

  • Review and strategically pre-block upcoming arrivals, including VIPs, IHG One Rewards members, special requests, accessible rooms, connecting rooms, and other priority arrivals.

  • Coordinate daily arrivals and departures with Front Office and Housekeeping, actively monitoring room readiness and prioritizing rooms based on operational and guest needs.

  • Monitor room status throughout the day, including vacant/clean, inspected, occupied, out-of-order and out-of-service rooms, and work with Housekeeping and Engineering to resolve discrepancies or availability concerns.

  • Manage oversell and inventory challenges, partnering with Front Office leadership and Reservations to identify solutions and minimize guest impact.

  • Ensure eligible IHG One Rewards upgrades and recognized member benefits are proactively reviewed and accommodated based on availability.

  • Manage group room blocks, rooming lists, special requests, and room assignment strategies in coordination with Sales, Conference Services, Reservations, and Front Office.

  • Review upcoming occupancy and inventory conditions, identifying potential room-type shortages, stayover impacts, oversell risks, or assignment challenges before they affect the operation.

  • Communicate room priorities, VIP movements, special accommodations, and inventory challenges clearly across Front Office and Housekeeping.

  • Research and resolve room inventory discrepancies and other operational issues within the property management system.

  • Maintain accurate guest profiles, reservations, room assignments, traces, alerts, and relevant operational notes.

  • Support the Front Desk during periods of high guest volume, including arrivals and departures, guest inquiries, room moves, key requests, luggage coordination, and other Front Office functions.

  • Assist with check-in and check-out and provide direct guest service when operational needs require.

  • Partner with Front Office leadership to support recovery situations, room-related guest concerns, and creative solutions that deliver a distinctly Kimpton guest experience.

  • Participate in daily operational communication, including reviewing occupancy, VIPs, groups, special events, and anticipated business levels.

  • Maintain knowledge of hotel services, amenities, outlets, local experiences, Kimpton brand standards, and IHG One Rewards.

  • Perform other Front Office and Rooms-related duties as assigned based on business and operational needs.

What You Bring

  • High school diploma or general education degree (GED) required.

  • Previous Front Office, Guest Service Agent, Rooms Controller, Reservations, or hotel operations experience preferred.

  • Knowledgeable of immediate area, services, attractions, and events.

  • Flexible schedule, able to work evenings, weekends and holidays.

  • Work well under pressure, dealing with many arrivals and departures within a short period of time.

  • Familiar with hotel systems and operations, and the ability to enter in information accurately.
