Administrative Coordinator, School of Law

Office of Development

 

Purpose:


The Administrative Coordinator serves as a senior administrative and operational partner for the School of Law Development team. This role is responsible for supporting fundraising operations, donor engagement activities, and executive-level coordination. The position plays a critical role in advancing development priorities through management of donor-related processes, strategic coordination, and high-level administrative support.


Organizational Relationship:


The School of Law Office of Development is part of the UMKC Division of Advancement and the UMKC Foundation will be the hiring office for this position. Development supports donors and friends of the law school in making leadership and major gift investments.


Essential Duties:

·        Serve as primary administrative liaison and point of contact for the School of Law Development team

·        Provide high-level administrative and operational support to senior development leadership, including proactive calendar and priority management aligned with donor engagement strategies

·        Coordinate gift processing workflows in partnership with the UMKC Law Foundation, including tracking, reconciliation support, and audit preparation

·        Support development officers in managing donor portfolios, including tracking activity, preparing donor briefings, and coordinating follow-up actions

·        Coordinate donor engagement and stewardship activities, including events, communications, and donor recognition efforts

·        Develop and prepare donor profiles, visit materials, and strategic briefing documents to support fundraising activities

·        Ensure integrity and strategic use of CRM system (Ellucian Advance) to support fundraising goals, reporting, and pipeline management

·        Serve as key contact for Law Foundation board members and stakeholders, managing meeting logistics, communications, and materials

·        Lead preparation of materials for donor visits, board and committee meetings, ensuring timely follow-up on action items

·        Coordinate communications and collaborate with marketing and communications teams to support development initiatives

·        Develop and improve administrative processes and workflows to enhance efficiency and effectiveness of development operations

·        Manage operational logistics including supplies, space coordination, and event support

·        Perform additional duties as assigned

 

Environmental Demands


This position does not require unusual physical ability. Little physical exertion is involved, although considerable pressures exist; the ability to handle tension and stress in a positive manner is required. No risks or discomforts are imposed upon this position by the physical surroundings or job situation. Occasional travel, frequent evening and weekend work are required. A valid driver’s license is required.


Salary Hiring Range: Up to $22.00 per hour, Commensurate with education, experience, and internal equity.


Required Education and Experience:

 

A bachelor’s degree and a minimum of three years of relevant experience in administrative coordination, development support, or related field. Demonstrated ability to manage complex priorities, exercise independent judgment, and support fundraising operations.

 

Preferred Qualifications:

 

·        Experience supporting development or advancement teams

·        Experience working with donor databases such as Ellucian Advance

·        Experience supporting senior leadership or executive-level operations

·        Strong organizational, communication, and problem-solving skills

·        Experience coordinating events or donor engagement activities

·        Excellent computer skills, including proficiency with Microsoft Office Suite and databases, is preferred with emphasis on Excel and Word with the ability to apply knowledge.


Work Status: Full Time, benefit eligible staff position with UMKC Foundation.  In office, 8:00am -5:00 pm Monday – Friday.
