Job description

Supervisor:ย Manager ofย Front Deskย 
Employment:ย Hourlyย (non-exempt), 1.0 FTE,ย full-timeย 

Schedule:ย 40 hours per week, Mondayโ€“Friday, 9:45 a.m. to 6:15 p.m., with extended hours until 7:15 p.m. on Thursdays to support our Community Nutrition Night.

Location:ย Quest SE Portland location and occasional Clackamas Location days. Remote work available upon manager discretionย 

Travel: Some local travel may beย requiredย to meet staffing needs.ย ย 

POSITION SUMMARY:ย 

The Front Desk/Receptionist, along with the other members of theย Frontย Deskย Team, are consideredย โ€œThe Face of Questโ€,ย representingย our clinic in a cheerful and professional manner.ย The primary job function for this position isย toย create an environment that allowsย Clients to feel welcomed, supported, and cared for,ย while supporting the staff at Quest through our administration and communication. Weย achieveย this by being thorough and quick with our intake and scheduling processes,ย communicatingย clearlyย and kindly to all weย encounter,ย andย supporting ourย Behavioralย Health andย Medicalย Teams with daily tasks and processes.ย Every interaction is an opportunity to help create a positive, healing experience for ourย Clientsย and visitors.ย The perfect candidate will be someone who cares deeply about professional and respectfulย communication. Our Front Desk Team works in tandemย all day, so we are looking for someone who can work effectivelyย onย aย close-nitย team.ย ย 

ESSENTIAL FUNCTIONS:ย 

  • Act as clinic wide supportย Staff for all programsย including:ย Medical, Mental Health, Recovery, WISH, HIV Services, FSR and Management Teams.ย 

  • Provide excellent customer service in a professional settingย 

  • Communicate with other agencies on behalf of Quest Centerย Clientsย 

  • Answer multi-line phones and direct calls to theย appropriate locationย 

  • Checkย Clients in for appointmentsย 

  • Schedule appointments both for in person appointments andย virtualย 

  • Utilize the SOP system for supplement purchases and paymentsย 

  • Open and/or close the clinicย 

  • Make reminder callsย 

  • Prepare paperwork for the next dayโ€™s appointments, including legal documents and insurance formsย 

  • Process incoming/outgoing mailย 

  • Be a liaison for the clinic. Know the processes for the clinic, the services that are provided at the clinic and be able to answerย general questionsย for prospective clientsย 

  • Willing toย participateย in clinic provided training in compliance with Federal Privacy Laws (HIPAA), CFR 42 Part 2,ย Cybersecurity, and other trainingsย 

  • Performย project-basedย assignmentsย 

  • Work alongside other Front Desk Team Membersย 

  • Knowledge of intake process for all departments and helping to screen questionsย about insuranceย

MINIMUM QUALIFICATIONS:ย 

  • 1 + year of medical reception experienceย (medical reception experience preferred but notย required)ย 

  • Ableย toย workย withย culturally-diverseย clientsย andย communitiesย whileย beingย culturally sensitive andย appropriateย 

  • Knowledge and belief in Quest Centerโ€™sย missionย 

  • Public health or non-profit experienceย preferredย
