Job Title: Junior Operations and Technology Analyst
Job Summary
The Junior Operations and Technology Analyst supports the execution of process improvement, technology implementation, and operational analytics initiatives across the organization. Working under the direct guidance of the Director of Project Management & Process Improvement, this role provides the analytical, documentation, and coordination backbone required to scale multi-department engagements effectively. The position is designed as a structured entry point into healthcare operations and project management, with a clear development pathway toward the Operations & Process Analyst role.
Essential Job Functions
Process documentation & SOP support
  • Drafts, formats, and maintains standard operating procedures (SOPs), process maps, and workflow diagrams for operational improvement initiatives.
  • Translates output from process mapping sessions, stakeholder interviews, and working groups into structured documentation for leadership review.
  • Maintains a centralized documentation repository in Smartsheet and SharePoint, ensuring version control and accessibility across departments.
  • Supports the Operations & Process Analyst in facilitating process mapping workshops, including preparation of materials, agenda management, and post-session documentation.

Data gathering & analysis
  • Collects, cleans, and organizes operational and clinical data from source systems into Smartsheet.
  • Builds and maintains Excel and Smartsheet-based trackers, dashboards, and reporting templates to monitor project KPIs and operational metrics.
  • Conducts exploratory data analysis to surface trends, anomalies, and improvement opportunities for senior analyst review.
  • Supports the preparation of data-driven presentations and executive reports for project sponsors and department leadership.

Meeting facilitation & project coordination
  • Manages meeting logistics for project workgroups including scheduling, agenda preparation, notes, and action item tracking.
  • Maintains project task logs, status trackers, and milestone documentation in Smartsheet across assigned initiatives.
  • Follows up with stakeholders on outstanding deliverables and escalate blockers to the Operations & Process Analyst.
  • Assists in preparing project status updates, dashboards, and communications for leadership and cross-functional teams.

Technology & systems support
  • Supports the rollout and adoption of operational technology platforms, including Smartsheet, Microsoft 365, and other enterprise tools.
  • Assists in user acceptance testing (UAT), workflow configuration, and training documentation for technology implementations.
  • Identifies opportunities to automate manual reporting and workflow processes using available platform capabilities.

Compliance & quality support
  • Assists in documenting compliance workflows related to regulatory requirements across PACE, SNF, ALF, and ILF business lines.
  • Supports audit readiness activities including documentation reviews, gap analysis, and corrective action tracking.
  • Adheres to HIPAA Privacy and Security Rules, organizational policies, and confidentiality requirements at all times.

Job Requirements
Education:
  • Bachelor's degree in Business Administration, Health Information Management, Information Technology, or a related field required.

Experience:
  • 0-2 years of professional experience in an analytical, operations, project coordination, or technology support role.
  • Internship or academic project experience involving data analysis, process documentation, or business operations will be considered.

Licenses/Certifications:
  • CAPM (Certified Associate in Project Management), Lean Six Sigma White or Yellow Belt, or equivalent coursework strongly preferred.
  • Smartsheet Core Product Certification or willingness to obtain within 180 days of hire.

Abilities Required
  • Advanced Microsoft Excel (pivot tables, dashboards, modeling)
  • Smartsheet (project tracking, automation, dashboards)
  • Microsoft 365 (Teams, SharePoint, Power Automate)
  • SQL or Python data skills (preferred, not required)
  • Process mapping tools (Visio, Lucidchart, or similar)
  • Prior exposure to healthcare, long-term care, or regulated operational environment is a plus but not required.
