Position Title: Development Coordinator, Donor Relations
Department: Advancement and External Affairs

Position Purpose:
Reporting to the Vice President of Advancement and External Affairs (VPAEA), the Development Coordinator, Donor Relations (DCDR) supports donor engagement, stewardship, and relationship-building activities for the Advancement and External Affairs Division and the PVCC Educational Foundation (Foundation). The position emphasizes coordination, donor follow-up, and relationship development while providing structured exposure to prospect development and fundraising strategy.
The DCDR works collaboratively with the VPAEA and the Advancement Operations Coordinator (AOC) to ensure donors are well-informed, engaged, and appropriately stewarded through consistent communication and follow-through.
Duties and Responsibilities:
Donor Engagement, Stewardship, and Relationship Coordination (45%)
Provide coordinated support for donor engagement activities designed to strengthen relationships, enhance donor experience, and support fundraising priorities. Responsibilities include:
  • Conduct donor discovery and stewardship conversations focused on interests, giving motivations, and engagement.
  • Participate in donor meetings with the VPAEA, President, or Foundation Board members, as appropriate.
  • Develop, plan, and implement events and activities to support donor engagement.
  • Coordinate donor follow-up, including thank-you communications, impact updates, and invitations.
  • Ensure timely and accurate documentation of donor interactions in Raiser's Edge.
  • Support stewardship activities tied to scholarships, programs, and special events.
  • Assist with coordination of donor engagement events and post-event follow-up.

Donor Prospecting and Qualification Support (25%)
Support the AEA team in identifying, qualifying, and advancing donor prospects under the strategic guidance of the VPAEA. Responsibilities include:
  • Collaborate with the Advancement Operations Coordinator to review and utilize prospect research.
  • Use prospect information to inform donor conversations and engagement strategies.
  • Assist in qualifying prospective donors through conversations, events, and engagement indicators.
  • Identify donor interests, philanthropic priorities, and readiness for deeper engagement.
  • Recommend donors for movement into managed portfolios or leadership-level cultivation.
  • Document prospect qualification notes and recommendations in Raiser's Edge in accordance with established standards.

Managed Donor Portfolio (20%)
Manage a contained donor portfolio focused on stewardship, retention, and renewal-level giving. Responsibilities include:
  • Manage a portfolio of approximately 25-40 donors, primarily:
    • Scholarship fund donors
    • Loyal annual donors
    • Event-connected supporters
  • Coordinate renewal and modest upgrade solicitations in partnership with the VPAEA.
  • Track donor responses and engagement trends within assigned portfolio.
  • Ensure consistent follow-through and stewardship for assigned donors.

Event and Foundation Board Donor Support (10%)
Support donor engagement connected to Foundation Board activities and special events. Responsibilities include:
  • Prepare donor and prospect briefing materials.
  • Support Foundation Board members by tracking donor portfolio activity and follow-up.
  • Assist with post-event donor follow-up and documentation.
  • Coordinate donor outreach tasks related to Foundation events and board engagement initiatives.
