Job Summary

The Recruiting Coordinator serves as a key extension of the VP, Talent Acquisition, providing high-impact administrative and operational support that keepsGoosehead'sfast-paced, high-volume TA function running smoothly. This role acts asa central pointof coordination across all recruiting functions - including agency recruiting, corporate recruiting, sourcing, recruiting operations, and onboarding - ensuring alignment, consistent communication, and follow-through on priorities set by TA leadership. The Recruiting Coordinator exercises sound judgment in managing shifting priorities, handling confidentialinformation, andrepresentingthe TA leader and department professionally with internal and external stakeholders. This role is well-suited to someone who is highly organized, discreet, and energized by supporting a growing team in a dynamic, entrepreneurial environment.

Talent Acquisition Leadership & AdministrativeSupport- 50%

  • Provideexecutiveadministrative support to the VP, Talent Acquisition, including managing calendars,schedulingmeetings, coordinatingtravel and events, and prioritizing competing demands using independent judgment.

  • Serve as thecentral pointof contact and liaison between the VP and recruiting sub-teams (agency recruiting, corporate recruiting, sourcing, onboarding, and recruiting operations), ensuring consistent communication and alignment on priorities.

  • Monitor and triage the VP's inbox and calendar requests, flagging time-sensitive items and drafting or sending correspondence on the VP's behalf asappropriate.

  • Handle confidentialcandidate,employee, and departmental information with a high degree of discretion and professionalism.

  • Draft,edit, andformat correspondence, presentations, and department communications on behalf of TA leadership.

  • Anticipate the VP's needs and proactively follow up on outstanding commitments across recruiting teams.

Meetings, Events & MaterialsPreparation- 20%

  • Coordinatelogisticsfor recruiting team meetings, department all-hands,and cross-functional touchpoints, including scheduling, room/virtual setup, and agenda distribution.

  • Attend meetings as requested, capture notes and action items, and drive follow-up to ensuretimelycompletion.

  • Prepare and format materials for recruiting events, career fairs, hiring days, onboarding sessions, and leadership presentations.

  • Support planning and execution of TA team events, offsites, and culture-building activities.

Reporting, Deliverables & OperationalSupport- 10%

  • Maintain and update recruiting metrics and dashboards (e.g., pipeline activity, time-to-fill, headcount, and requisition status) to support leadership decision-making.

  • Manage andsubmitexpense reports for reimbursementsin a timely manner.

  • Supporttracking ofdepartmental budget items, vendor invoices, and recruiting tool/license administration.

  • Maintainaccurateprocess documentation and standard operating procedures for the TA function.

  • Provide hands-on support for ad hoc leadership deliverables and reporting requests.

Project Coordination, Discretion & Core TeamParticipation- 10%

  • Track and support cross-departmental TA projects and initiatives, helping ensure milestones are met on time.

  • Participate in Talent Acquisition core team initiatives, team-building activities, and broader People/HR function events to strengthen team cohesion.

  • Exercise sound judgment and discretion when coordinating sensitive information across recruiting departments.
