Recruiting Coordinator – Physician, Operations, and Corporate Recruitment


We are seeking a highly organized Recruiting Coordinator to support our physician recruiting efforts, as well as assist with coordination for operations and corporate recruitment. This role offers an exciting opportunity to be a vital part of our talent acquisition team, ensuring a seamless and efficient hiring process across multiple departments.


Key Responsibilities:

- Support physician recruiting initiatives by coordinating interview schedules, communicating with candidates, and managing candidate pipelines.

- Assist with coordination for operations and corporate recruiting, including posting jobs, sourcing, scheduling interviews, and tracking candidate progress.

- Maintain and update the Applicant Tracking System (Paylocity) to ensure accurate and current candidate information.

- Collaborate with hiring managers and HR team members to facilitate smooth recruitment workflows.

- Prepare and distribute interview materials and candidate communications.

- Ensure a positive candidate experience through timely and professional communication.

- Assist in developing and posting job advertisements on various platforms.


Skills and Qualifications:

- Proven experience in recruiting coordination or administrative support within a HR or talent acquisition environment.

- Excellent communication and interpersonal skills.

- Strong organizational and time management abilities.

- Proficiency in ATS systems, preferably Paylocity, and familiarity with job posting platforms.

- Ability to multitask and prioritize in a fast-paced environment.

- Attention to detail and accuracy in data entry and record keeping.

- Knowledge of healthcare or corporate recruiting is a plus.

Requirements:

QUALIFICATIONS: [Education, Training, Knowledge, Skills, Abilities, and Expected Behaviors]

Required:

  • 1-3 Years in an Recruiting Coordinator or Assistant role
  • Must demonstrate highly ethical behavior and good judgment including the ability to always maintain the utmost confidentiality.
  • Excellent listening, verbal, and written communications skills.
  • Ability to easily build rapport and interact effectively with personnel at all levels within the Company and with vendors and business partners outside the Company.
  • Portrays the Company in a highly professional manner both with and outside of work.
  • Must be able to ensure accurate, timely completion of assigned responsibilities/projects.
  • Respectfully accepts coaching and guidance understanding it is intended to impart knowledge and help with career development and growth.
  • Understands gossip in the workplace is frowned upon, especially within HR and consciously does not participate.
  • Highly PC Proficient with good working knowledge of Microsoft Office, including Word, Excel, and Outlook, database systems, organizational chart programs, and report generation. Experience with SmartSheets or able to easily learn.
  • Legal eligibility to work in the United States without sponsorship now or in the future.
  • Ability to successfully pass an in-depth background investigation, including credit check and with a clean DMV report.

Desired Qualifications:

  • Experience using ATS (Paylocity, highly desired).
  • Experience with SmartSheets.
  • Knowledge of / experience with California Labor Law.

Compensation / Benefits:

  • Competitive salary will depend on relevant experience level.
  • Benefit eligibility for FT employees working 30+hours weekly begin the first of the month following 30 days of employment.
  • Eligibility to participate in our 401(k) program begins on the first of the month following 60 days of employment.
