Job Inventory information

What are some common challenges faced by professionals in job inventory management, and how can they be addressed?

Professionals in job inventory management often encounter challenges such as balancing stock levels to prevent overstocking or stockouts, managing data accuracy, and coordinating effectively with other departments like purchasing and sales. Addressing these challenges requires strong attention to detail, proficiency with inventory management software, and clear communication with team members. Adopting best practices—such as regular cycle counts, real-time tracking, and ongoing process improvement—can help mitigate these issues and ensure efficient operations.

What is the difference between Job Inventory vs Job Analyst?

AspectJob InventoryJob Analyst
Required CredentialsTypically no specific certifications, but familiarity with job data and HR systemsOften requires a degree in HR, Business, or related fields; certifications like SHRM-CP may be preferred
Work EnvironmentOffice or remote, involving data management and reportingOffice-based, involving analysis, interviews, and report preparation
Employer & Industry UsageUsed by HR departments to catalog jobs and skillsUsed by HR and organizational analysts to evaluate job roles and improve structures
Common Search & Comparison IntentUnderstanding job data management and catalogingAnalyzing job roles and responsibilities for organizational planning

While both roles involve understanding job functions, Job Inventory focuses on cataloging and maintaining job data, whereas a Job Analyst evaluates and analyzes job roles to improve organizational structure. The two are related but serve different purposes within HR and organizational development.

What are Job Inventory positions?

Job Inventory positions refer to a pool of pre-screened job openings within an organization or agency, often used to fill roles quickly as they become available. Applicants are assessed and placed in an inventory, which hiring managers can draw from when a suitable vacancy arises. This process helps speed up hiring and ensures that qualified candidates are readily accessible. Typically, candidates remain in the job inventory for a set period and may be contacted for interviews as positions match their skills.

What are the key skills and qualifications needed to thrive as an Inventory Manager, and why are they important?

To thrive as an Inventory Manager, you need a solid grasp of inventory control, supply chain management, and data analysis, often supported by a relevant degree or experience in logistics or business administration. Familiarity with inventory management software (such as SAP, Oracle, or NetSuite) and advanced Excel skills are typically required. Strong attention to detail, organizational abilities, and effective communication help you stand out in this role. These skills are crucial for maintaining accurate stock levels, minimizing costs, and ensuring efficient operations within a business.

Backed by world-class investors, operators, and sports & entertainment partners, we are building the global leader in next-generation collectibles. As part of the broader Fanatics ecosystem, we leverage a digital sports platform that spans over 900 sports properties and engages more than 81 million fans. Together, we are reimagining every part of the collectibles experience for fans, partners, and creators.

Role Summary

Fanatics Collectibles is seeking a detail-oriented and dependable Inventory Associate to support day-to-day inventory and fulfillment operations within the Collector Fulfillment Department. This role is responsible for helping ensure inventory is received, stored, tracked, prepared, and fulfilled accurately and efficiently.

The Inventory Associate will support key workflows across inventory movement, cycle counting, order preparation, product handling, quality checks, and exception resolution. This role will partner closely with Inventory Supervisors, Senior Inventory Associates, Collector Fulfillment Associates, Customer Service, Warehouse Operations, and other cross-functional teams to help maintain inventory accuracy and deliver a high-quality collector experience.

The ideal candidate is organized, reliable, comfortable working with inventory systems, and committed to accuracy in a fast-paced operational environment.

What You'll Do

Inventory Operations

  • Support daily inventory activities, including receiving, putaway, storage, replenishment, picking, packing, product movement, and fulfillment support.
  • Accurately locate, label, scan, and transact inventory using inventory management systems, warehouse management systems, or related tools.
  • Assist with maintaining accurate on-hand balances by following established inventory control processes.
  • Help identify and report inventory discrepancies, including shortages, overages, damaged goods, misplaced items, returns, and fulfillment exceptions.
  • Support inventory organization standards to ensure products are properly stored, protected, and easy to locate.

Fulfillment & Product Handling

  • Prepare products and materials for fulfillment workflows, including defect, redemption, replacement, and collector support orders as needed.
  • Perform product handling tasks with care and attention to condition, accuracy, packaging, and presentation.
  • Support quality checks to ensure orders and inventory movements are accurate before shipment or handoff.
  • Assist with assembling, moving, lifting, and organizing product packages and materials as needed.
  • Follow standard operating procedures to support accurate, timely, and consistent fulfillment execution.

Cycle Counts, Audits & Reconciliation

  • Participate in cycle counts, physical inventory counts, reconciliations, and inventory audits.
  • Accurately record count results and escalate variances to the Inventory Supervisor or Senior Inventory Associate.
  • Support research into inventory discrepancies by reviewing system transactions, physical locations, and product movement history.
  • Maintain documentation and process compliance in support of inventory controls and operational standards.

Cross-Functional Support

  • Partner with Collector Fulfillment, Customer Service, Warehouse Operations, Returns, Quality, and Logistics teams to support inventory-related workflows.
  • Help research and resolve order issues, inventory exceptions, replacement needs, and customer-impacting discrepancies.
  • Communicate clearly with team members and supervisors regarding inventory status, exceptions, and task progress.
  • Escalate issues that may impact fulfillment timelines, inventory accuracy, or the collector experience.

Continuous Improvement

  • Follow established processes while identifying opportunities to improve accuracy, efficiency, organization, and workflow consistency.
  • Share observations and feedback with supervisors to help reduce recurring inventory issues.
  • Support process improvement initiatives, space optimization, and standardization efforts as directed.
  • Contribute to a team environment focused on accountability, collaboration, safety, and operational excellence.

What You Bring

Required Qualifications

  • 1+ year of experience in inventory, fulfillment, warehouse operations, retail operations, logistics, customer service operations, or a related environment.
  • Experience working with inventory management systems, warehouse management systems, ERP platforms, or similar operational tools.

  • Ability to follow standard operating procedures and complete tasks accurately and on time.
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Effective verbal and written communication skills.
  • Ability to work both independently and collaboratively as part of a team.
  • Ability to lift, move, organize, and assemble product packages and materials as needed.

Preferred Qualifications

  • Experience supporting ecommerce, direct-to-consumer, collectibles, trading cards, retail, or high-volume fulfillment operations.
  • Familiarity with inventory processes such as cycle counting, replenishment, reconciliation, order picking, packing, and exception handling.
  • Experience supporting customer service-related inventory workflows, including returns, replacements, defects, redemptions, or order resolution.
  • Working knowledge of Microsoft Excel, Google Sheets, Airtable, or similar data tracking tools.
  • Interest in sports, trading cards, collectibles, or collector-focused products.

Skills

  • Inventory accuracy and attention to detail
  • Organization and time management
  • Clear communication
  • Problem-solving and follow-through
  • Cross-functional collaboration
  • Process discipline and accountability
  • Comfort using inventory systems and operational tools
  • Ability to work in a fast-paced, deadline-driven environment

Key Measures of Success

  • Strong cycle count participation and inventory accuracy
  • Timely escalation and support of discrepancy resolution
  • Fulfillment support completed accurately and on time
  • Consistent adherence to SOPs, quality standards, and inventory controls
  • Effective collaboration with Inventory, Collector Fulfillment, Customer Service, and Warehouse Operations partners
  • Contribution to a safe, organized, and efficient work environment
