Job Description

The Transfer, Online, and Re-Entry Admissions Counselor is a goal-oriented enrollment professional responsible for achieving recruitment and enrollment targets across three critical student populations: transfer students, online learners, and re-entry (stop-out) students. This position requires a strategic, results-driven professional who combines strong relationship-building skills with data-informed decision-making to convert prospects into enrolled students. The counselor will be accountable for meeting or exceeding enrollment goals while providing exceptional, personalized service that addresses the unique needs and barriers facing these student populations. Success in this role requires managing a robust recruitment pipeline, reviewing applications and college transcripts, managing travel logistics, removing obstacles to enrollment, and contributing to a seamless experience for students transitioning into the institution.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  • Bachelor’s degree from an accredited college or university.
  • 2-4 years of admissions or enrollment management experience in higher education, preferably including work with transfer students.
  • Demonstrated ability to travel regionally and out of state, with flexibility to work evenings or weekends as needed during peak recruitment and event periods.
  • Experience reviewing applications, performing credit articulation or equivalency evaluation, and working with community college transfer processes preferred.
  • Excellent written and oral communication skills; ability to deliver presentations (in-person and virtual); strong interpersonal skills and ability to build relationships with students, families, colleagues, and external partners.
  • Strong organizational skills with ability to manage multiple projects, travel logistics, event planning, and meet deadlines in a dynamic, enrollment-driven environment.
  • Experience with Slate (preferred) or other CRM/enrollment management systems, application review platforms, and proficiency with Microsoft Office (Word, Excel, PowerPoint) and virtual meeting platforms.
  • Ability to work independently and collaboratively as part of a team, with a student-centered mindset.
  • Valid driver’s license and reliable transportation for travel requirements.
  • Preferred: experience with outreach to community colleges, experience in event planning for admitted students/transfer populations, familiarity with stop-out or non-traditional student populations, and knowledge of the Indiana higher education transfer landscape.

ESSENTIAL FUNCTIONS:

Recruitment & Relationship Management (40%)

  • Meet or exceed assigned enrollment goals for transfer, online, and re-entry student populations through strategic territory management and pipeline development
  • Develop and implement recruitment travel plans regionally and out-of-state: attend college fairs, community college visits, virtual recruitment sessions, and other external events.
  • Assist the Director in building and maintaining partnerships with community colleges, technical schools, and other feeder institutions that generate consistent transfer student enrollment.
  • Identify and conduct targeted outreach to stop-out students who have previously attended UIndy.
  • Assist with the planning, coordinating, and execution of virtual and in-person information sessions, campus tours, and one-on-one counseling appointments designed to move prospects toward enrollment decisions
  • Manage assigned territory/portfolio of prospective students through the enrollment funnel with attention to conversion rates at each stage
  • Maintain consistent activity levels in outreach, appointments, and follow-up to ensure goal attainment
  • Maintain a travel schedule that may require nights and weekends, manage logistics for recruitment visits (including scheduling, travel arrangements, materials) and ensure budget accountability.

Application Review & Evaluation (25%)

  • Review and evaluate transfer applications, transcripts, and supporting documents for transfer and returning students with efficiency and accuracy.
  • Assess prior academic records for re-entry students, including academic standing and outstanding financial obligations.
  • Collaborate with the Director, academic departments and the Registrar's Office to determine transfer credit equivalencies and degree audit reviews that support timely enrollment.
  • Provide accurate information regarding articulation agreements, credit transfer policies, and degree completion timelines that facilitate enrollment decisions
  • Make admissions decisions in accordance with University policies and enrollment goals
  • Maintain detailed knowledge of online and on-campus program offerings, and student support services
  • Process applications expeditiously to maintain momentum in the enrollment cycle

Student Advising & Barrier Removal (25%)

  • Serve as a primary point of contact and advocate for prospective transfer, online, and re-entry students throughout the admissions process, maintaining urgency toward enrollment
  • Provide personalized guidance on program selection, financial aid, scholarships, and enrollment procedures that moves students to commitment
  • Proactively identify and address barriers to re-enrollment including financial holds, academic probation, life circumstances, etc.
  • Conduct high-volume, proactive outreach via phone, email, text, and CRM platforms to move students through the enrollment cycle and prevent pipeline attrition
  • Coordinate with Financial Aid, Student Accounts, Academic Advising, and Student Success teams to resolve enrollment obstacles quickly
  • Develop individualized re-entry plans that address academic, financial, and personal success factors while maintaining focus on enrollment completion

Data Management & Reporting (10%)

  • Maintain accurate records in the Slate CRM system to track progress toward enrollment goals
  • Monitor personal performance metrics including contacts, appointments, applications, and enrollments
  • Track recruitment activities, application status, enrollment metrics, and re-entry conversion rates
  • Prepare regular reports on recruitment outcomes, stop-out student engagement, pipeline health, and goal progress
  • Contribute to continuous improvement of admissions processes, re-entry protocols, and student experience
  • Other duties as assigned by the Director of Transfer Admissions and Online Enrollment.
