Virginia Fertility & IVF is seeking a full time, on site, Office Manager to oversee the day-to-day operations of our clinic in Charlottesville. This role is very hands on and focused on front office leadership, patient flow, and administrative coordination. The ideal candidate is comfortable working in a fast-paced environment, managing staff, and handling daily operational challenges with professionalism and urgency. Success in this position comes from strong execution, organization, and the ability to keep the office running smoothly each day.
Key Responsibilities:
• Oversee daily front office operations and patient flow
• Supervise and support administrative staff, including scheduling and performance oversight
• Manage front desk functions and provide hands-on support as needed
• Coordinate closely with physicians and clinical staff to ensure smooth daily operations
• Support insurance verification and patient account workflows
• Assist with billing processes, including encounter review and basic revenue cycle support
• Handle patient concerns and de-escalate issues in a professional and timely manner
• Ensure accurate daily balancing and completion of administrative tasks
• Maintain organization of records, documentation, and office systems
• Ensure compliance with company policies and procedures
• Other duties as assigned
Qualifications:
• 5+ years of experience in a medical office setting with leadership responsibilities
• Strong working knowledge of EMR systems
• Experience with front office operations, insurance verification, and billing workflows
• Ability to manage competing priorities in a fast-paced environment
• Strong communication and problem-solving skills
• Proven ability to handle stressful situations and maintain professionalism
