Job description

Yamaha is looking to fill an Administrative Assistant, SR., Motorsports for our office in Marietta, GA. The Administrative Assistant Sr. provides comprehensive administrative and operational support to region field staff and executive leadership team by managing reporting, payroll incentives, travel coordination, and regional budgeting activities. The coordinator will oversee key processes including call report maintenance, invoice payments, monthly staff reporting, and execution of regional programs and approvals. Ensures efficient day-to-day operations through scheduling, meeting coordination, supply management, and maintenance of organized electronic filling systems.
What you'll be doing:
  • Perform general duties to include but not limited to: call report maintenance; demo approvals; external invoice payments; dealer credits/debits.
  • Manage monthly incentive payouts through payroll for field sales staff.
  • Solicit field staff and prepare monthly staff report (RQL)
  • Prepare/share monthly regional budget summaries with leadership.
  • Set up/coordinate meetings for regional teams
  • Maintain staff weekly schedules.
  • Performs other duties as assigned.
  • Process cancelled dealer buy back of P&A.
  • Order supplies, maintain electronic filing system.
  • Advanced administrative support: complex scheduling, document preparation, travel coordination, confidentiality.
  • Communication: clear writing, professional interaction, customer service, diplomacy.
  • Organization & time management: multitasking, prioritizing deadlines, maintaining systems, proactive problem-solving.
  • Technical proficiency: advanced Microsoft Office, databases, collaboration tools (Teams, SharePoint, Zoom).
  • Analytical skills: accuracy checks, process improvement, sound judgment.
  • Project coordination: tracking timelines, supporting cross-department tasks.
