Description
The Spa & Yoga Program Coordinator at Ojo Caliente Mineral Springs Resort & Spa is a key leadership role within the Spa Department, ideal for a professional who is passionate about healing environments, understands the nuances of working with both employees and independent contractors, and thrives on building strong, respectful relationships.
This position is responsible for inputting and tracking of all massage therapist schedules, yoga instructor schedules, the daily yoga program, yoga workshops, and private retreats.
The Spa & Yoga Program Coordinator oversees all private retreat inquiries, site inspections, rental agreements, preparation for the arrival of retreat guests, and anticipating all details needed by the retreat host.
As a member of the Spa Department, all tasks and responsibilities of Spa Attendants/Supervisors will be learned to support interviewing, training, and onboarding of new staff. The Spa & Yoga Program Coordinator will also back up Spa Attendants and Spa Management when short-staffed or during busy periods to ensure an exceptional guest experience and a supportive environment for both employees and contracted therapists.
This position requires a 45-50 hour per week commitment. There may be times when you are asked to work on your typical days off, holidays, or weekends due to the seasonal needs of the resort. The Spa & Yoga Program Coordinator works closely with the Spa Manager, Assistant Spa Manager, Spa Supervisors, Spa Attendants, contracted massage therapists and yoga instructors, and other departmental staff to attain all department goals while honoring the different expectations and needs of employees and independent contractors.
  • Oversees the timely scheduling of all LMTs following the guidelines set forth by management, making necessary schedule adjustments as needed or in the event of a sick/injured/no show therapist.
  • Schedules spa appointments so they optimize the LMT schedule and treatment room revenue.
  • Oversees all aspects of the yoga program including scheduling instructors, auditions, yurt cleanliness, ordering of equipment, etc.
  • Schedules and coordinates daily yoga classes (Currently 9:00 AM and 10:45 AM for on-property guests; 12:30 PM for the public) in the yoga yurt, ensuring instructor coverage for every class.
  • Plans and coordinates logistics for 1-3 yoga workshops per month, including instructor booking, yurt scheduling, and promotion in partnership with marketing/front desk.
  • Manages the retreat yurt calendar and coordinates all aspects of the 1-3 private retreats hosted per month, including room blocks, restaurant dining or self-catering kitchen arrangements, and communication with retreat leaders/organizers on all details needed for a smooth stay.
  • Maintains both the yoga yurt and retreat yurt calendars to prevent double-booking and ensure smooth handoffs between daily classes, workshops, and retreats.
  • Handles site inspections for potential retreat hosts and provides tours of the springs and spa for inquiring guests.
  • Promptly answers phones and returns calls to provide accurate spa and related resort information as needed.
  • Assists in the functionality and operations of the spa under the direction and in the absence of the Spa Manager and Assistant Spa Manager.
  • Communicates effectively and in a timely manner with staff, management, and contractors regarding daily operations and issues that arise, using strong interpersonal skills to resolve concerns and support collaboration.
  • Assists Spa Management with spa activities, special projects, and other spa responsibilities as needed.
  • Greets guests with a sincere welcome and explains spa services, as needed.
  • Communicates with Spa Manager regarding any guest requests or problems in a timely manner.
  • Assists in hiring and training new employees by utilizing provided training manuals and checklists to ensure they understand the correct way of completing tasks.

Requirements
• Minimum of three years of spa experience, preferably at a large resort spa.
• Being a certified yoga instructor or following a personal daily yoga practice is a plus.
• Experience with planning events, retreats, or workshops is beneficial.
• First Aid/AED/CPR certification preferred, or willing to become certified.
• Computer and technology proficient. Excel, Word, Outlook. (Microsoft Office Suite)
• Masterful at actively managing the spa schedule and supporting computer systems/POS.
• Reliable and punctual. Being present in the workplace daily is key to success.
• Ability to work under pressure with a high level of patience and calm demeanor.
• Ability to work evenings, weekends, weekdays, and holidays if required.
• Ability to sit, stand (for eight hours or more a day), reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 40 pounds or more.
• Excellent English communication skills; both written and verbal. Bi-lingual a plus.
• Proven leadership qualities. Ability to work cohesively with all Spa staff and co-workers as part of a team.
• Strong organization and problem-solving skills. Demonstrated success at working multiple priorities simultaneously. Exercising good judgment with guest and employee situations and challenges.
