Assistant Project Manager - HVAC
Position Overview
As an Assistant Project Manager - HVAC, you'll support the successful execution of commercial HVAC and integrated mechanical projects by assisting the Project Manager in coordinating activities, ensuring alignment with scope, schedule, budget, and quality standards, while focusing on HVAC system design, installation, and performance. This role contributes to delivering high-performance, sustainable mechanical outcomes for clients in commercial and critical environments across any of our operating companies. Duties and Responsibilities
  • Assist the Project Manager in planning, coordinating, and overseeing HVAC-related projects, including heating, ventilation, air conditioning systems, ductwork, piping, and integration with building infrastructure.
  • Support development and maintenance of project schedules, milestones, and resource allocation using industry-standard tools.
  • Track project costs, prepare cost projections, monitor budgets, and assist in identifying and managing variances, change orders, or value engineering opportunities.
  • Coordinate with internal teams (field technicians, engineers, installers, subcontractors), vendors, and clients to ensure timely procurement, submittals, approvals, fabrication, and installation of HVAC equipment and components.
  • Monitor project progress through regular site visits, report on status, risks, issues, safety compliance, and performance metrics to the Project Manager and stakeholders.
  • Assist in quality control/assurance processes, ensuring compliance with project specifications, company standards, codes (e.g., ASHRAE, IMC), regulatory requirements, and safety protocols.
  • Help manage documentation, including contracts, RFIs, change requests, submittals, as-built drawings, and project close-out packages.
  • Support risk identification and mitigation efforts related to HVAC scope, equipment performance, technical integration, and project delivery.
  • Contribute to client communication, attend progress meetings, and provide updates on HVAC system status, commissioning, and performance.
  • Participate in project handover, system startup/commissioning support, testing/balancing coordination, and post-project reviews to drive continuous improvement and lessons learned.
Supervisory Responsibilities
None (this role has no direct supervisory responsibilities but requires close collaboration with project managers, field teams, and other departments; may involve guiding or mentoring junior staff or interns as needed).
Requirements/Qualifications
  • Experience: 2+ years of experience in project coordination, assistant project management, or field/operations roles within HVAC, mechanical contracting, construction, or related industries. Recent graduates with engineering or construction management degrees who have relevant experience or strong interest in commercial HVAC are encouraged to apply.
  • Education: Bachelor’s degree in Mechanical Engineering, Construction Management, Project Management, or a related field (or equivalent experience).
  • Certifications/Licenses: Valid driver's license and clean driving record required; OSHA 10/30-hour certification encouraged (company support provided).
  • Physical Demands: Primarily office-based with frequent job-site visits; ability to walk active construction sites, climb ladders/stairs, lift light materials (plans, laptop), and travel regionally as needed.
  • Work Environment/Safety: Professional office with hybrid options and active construction sites; exposure to varying weather, noise, dust, heights; must adhere to OSHA regulations, conduct hazard identification, and wear required PPE (hard hat, safety glasses, steel-toed boots) on sites—safety is our top priority and non-negotiable. This is a safety-sensitive position.
Required Skills
  • Familiarity with commercial HVAC systems (chillers, boilers, air handlers, VAV systems, rooftop units, piping/ductwork) and integration with other building systems preferred.
  • Understanding of project management principles, including scheduling, cost control, procurement, and risk management.
  • Proficiency in Microsoft Office Suite (Excel, Project, Word); experience with project management software (Procore, Autodesk BIM 360, Bluebeam, or similar) is a plus.
  • Strong organizational, analytical, and problem-solving skills with keen attention to detail.
  • Excellent communication and interpersonal abilities to collaborate across multidisciplinary teams, subcontractors, and clients.
  • Ability to travel to project sites as required and work in a fast-paced, field-oriented environment.
