Job description

Position Overview

We are seeking an experienced California mental health insurance billing specialist to manage our billing and accounts receivable processes. This is a part-time remote position for someone who is highly organized, detail-oriented, and experienced with California psychotherapy billing.


Responsibilities

  • Prepare, submit, and track insurance claims through TherapyNotes.
  • Process and reconcile payments/remittances from CardPoint, United Healthcare, Aetna and direct payer deposits.
  • Maintain accounts receivable aging reports and follow up on unpaid, denied, or underpaid claims.
  • Review EOBs and ERAs and accurately post payments and adjustments.
  • Communicate with insurance companies (including United Healthcare, Aetna, and others) to resolve claim issues, eligibility questions, and denials.
  • Monitor payer enrollment and credentialing status and identify issues that may impact reimbursement.
  • Provide monthly accounts receivable summaries and report discrepancies to the practice owners.
  • Assist with onboarding new associates and interns into TherapyNotes, including payer setup, billing configuration, and claims routing.


Required Qualifications

  • Minimum of 2 years of recent billing experience preferably in mental health.
  • Experience processing and reconciling payments from CardPoint, and/or direct payer deposits.
  • Experience working with California mental health insurance payers, including Aetna, Optum, Headway, and United Healthcare.
  • Knowledge of outpatient mental health CPT codes (90791, 90834, 90837).
  • Experience posting EOBs/ERAs and resolving insurance denials.
  • Ability to discuss prior denial-resolution and accounts receivable management experience during the interview.


Preferred Qualifications

  • Hands-on experience using TherapyNotes.
  • 5+ years (ideally closer to 10 years) of California mental health billing experience.
  • Experience onboarding new providers into billing systems.
  • Familiarity with payer credentialing and enrollment processes.

Compensation

  • $35/hour, depending on experience.
  • Approximately 5–10 hours per week initially, with opportunities for additional hours as the practice continues to grow.
  • Flexible scheduling.
