About the Role


Peak Business Valuation, an Amplēo Company, is seeking a highly organized and proactive Operations Coordinator to support our Machinery & Equipment Appraisal division. This role serves as the operational backbone of the appraisal team, ensuring projects move efficiently from client intake through delivery while providing exceptional service to lenders, business owners, attorneys, and internal stakeholders.


This is not a traditional administrative role. You'll coordinate complex appraisal engagements across multiple industries, manage travel and logistics for field inspections nationwide, oversee CRM workflows, and keep projects on schedule. Success in this role requires exceptional organization, attention to detail, and the ability to anticipate needs before they arise.


You'll work closely with our Lead Appraiser and appraisal team, helping deliver high-quality client experiences while supporting one of the nation's leading valuation firms.

Day-to-Day Operations

On any given day, you may be coordinating a multi-state inspection schedule in the morning, routing SBA lending opportunities through HubSpot before lunch, and preparing documentation for an equipment liquidation engagement in the afternoon. No two days are the same, and your ability to stay organized keeps projects moving efficiently.


You own the operational coordination of the Machinery & Equipment Appraisal team, ensuring clients, appraisers, and business partners have the information and resources they need throughout every engagement.


Client & Project Coordination
  • Coordinate incoming appraisal requests and assign projects through HubSpot CRM.
  • Route SBA lending opportunities and internal referrals to the appropriate appraiser.
  • Monitor project timelines and proactively communicate project status with internal and external stakeholders.
  • Serve as a professional point of contact for lenders, attorneys, accountants, business owners, and clients throughout the appraisal process.
Travel & Logistics
  • Coordinate nationwide travel for field inspections, including flights, hotels, rental vehicles, and itineraries.
  • Schedule multi-state inspection trips while maximizing travel efficiency and managing project budgets.
  • Prepare travel documentation and support appraisers before, during, and after field engagements.
Proposal & Auction Coordination
  • Prepare and distribute Requests for Proposals (RFPs) to industrial auction houses and liquidation partners.
  • Coordinate communications for asset liquidation and auction-related projects.
  • Track proposal responses and maintain project documentation.
CRM & Administrative Operations
  • Maintain accurate project information within HubSpot CRM.
  • Create and manage workflows, task assignments, and automated reminders.
  • Organize appraisal files and maintain accurate project documentation.
  • Manage secure document storage and enforce appropriate access controls across Google Drive and internal systems.
Event & Marketing Support
  • Coordinate logistics for trade shows, conferences, and industry events, including booth shipments, travel arrangements, and event materials.
  • Support post-event follow-up activities and HubSpot marketing workflows.
  • Assist with special projects and operational initiatives that improve efficiency across the appraisal division.

REQUIREMENTS
  • 3+ years of experience in operations, project coordination, executive administration, or client services.
  • Experience supporting professional services, financial services, appraisal, legal, banking, or consulting organizations.
  • Proficiency with Microsoft Office and Google Workspace.
  • Experience using HubSpot CRM, including pipelines, workflows, and task automation.
  • Familiarity with SBA lending, commercial appraisals, business valuations, or machinery and equipment appraisals.
  • Experience coordinating conferences, trade shows, or client events.
