Job description

SFO is hiring an Internal Communications Specialist!


This role is key to strengthening our Marketing & Communications team by driving impactful internal communication programs that keep the Airport informed and aligned.


As the Internal Communications Specialist, youโ€™ll oversee the planning, prioritization, and execution of internal communications initiatives, ensuring alignment with departmental goals, timelines, policies, brand standards, and applicable legal and regulatory requirements, budgets and resources, and ensure messaging supports the Airportโ€™s goals.


This role also includes recommending staffing and tech needs, plus overseeing contractor workorders, purchasing, invoices, billing, and payments.

You are excited about this opportunity because you will:

  1. Manage the resources of the Internal Communications Strategy section, including monitoring budgets, maximizing resources across multiple sections, recommending changes to staffing levels and acquisition of equipment, materials, and software solutions, and overseeing contractor workorders, purchase orders, invoices, billing, and payments.
  2. Manage internal communications operations and team workflows: oversee the planning, prioritization, and execution of internal communications initiatives, ensuring alignment with departmental goals, timelines, policies, brand standards, and applicable legal and regulatory requirements.
  3. Delegate tasks and projects to communications staff or cross-functional collaborators, providing clear direction and support. Monitor team productivity and evaluate the effectiveness of communication strategies and deliverables.
  4. Coordinate and supervise the production of internal content, campaigns, and technical support materials. Prepare and distribute regular status updates and performance reports for leadership and stakeholders.
  5. Monitors the effectiveness of communication strategies and tools, identifying opportunities for improvement and innovation. Conducts analysis to develop and refine processes to enhance efficiency, clarity, and reach of internal communications efforts.
  6. Serves as a resource and advocates for best practices in internal messaging, employee engagement, and organizational transparency
  7. Coordinate planning and project work across multiple airport sections and contractors. Act as liaison and promote good working relationships. Develop agendas, conduct meetings, create presentations, create photos and videos, and represent department at meetings as required.
  8. Conduct research, gather feedback, compile and analyze statistical data, formulate recommendations, and report on internal communications processes, tools, and channels.
  9. Develop and recommend policies, procedures, and best work practices for the Internal Communications Strategy. Develop and advise on internal communications policies, procedures, and best practices by collaborating with leadership and departmental teams to ensure communication strategies align with operational needs and departmental priorities. Assess the impact of proposed and existing legislation, regulations, and organizational changes on internal communication structures and practices.
  10. Collaborate with managers and administrative staff to assess communication resource needs across programs, projects, or initiatives. Prepare clear, data-informed reports and presentations to communicate budget proposals, resource allocations, and fiscal impacts to leadership and stakeholders. Tracks and reports on the effectiveness and ROI of communication initiatives to inform future planning and resource allocation.
  11. Collaborate with procurement and legal teams to draft clear, accurate, and accessible language for contractual documents, including requests for proposals (RFPs) and bid solicitations, ensuring internal stakeholders are informed and aligned by developing communications that clarify departmental needs and contract specifications.
  12. Perform other functions outlined in the 1844 Senior Management Assistant.


MINIMUM QUALIFICATIONS

Education: Possession of a Baccalaureate Degree from an accredited college or university.

Experience: Three (3) years full-time equivalent experience performing professional-level administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.


Substitution: Additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration may substitute for the required education on a year-for-year basis. One (1) year (2000 hours) of additional qualifying experience will be considered equivalent to thirty (30) semester units or forty-five (45) quarter units.


Desirable Qualifications:

  • Experience in producing high-quality visual and multimedia content, including photography and video, for internal distribution across digital platforms.
  • 3 years or more of experience using Adobe Creative Cloud and Final Cut Pro.
  • Experience crafting clear, concise, and engaging internal communications, including newsletters, intranet content, blogs, executive messages, social media posts, and reports.
  • Experience conducting surveys, needs assessments, and analyzing data to inform communication strategies and measure effectiveness.
  • Experience in managing and publishing content in multiple languages.
  • Experience producing content that meets the Title II of the Americans with Disabilities Act (ADA), WCAG 2.1 AA standards.
  • Experience developing and implementing internal communication strategies that align with organizational goals and enhance employee engagement.
