We are seeking a detail-oriented Documentation Specialist Intern to support the review, rebranding, updating, and restructuring of product documentation in both English and French. This role will focus on bringing outdated documentation current, aligning materials with current branding and product functionality, and improving usability through clear structure, practical formatting, and adult learning principles.

The intern will work closely with the Training & Content Team and Product Managers, documentation stakeholders, and subject matter experts to bridge documentation gaps, support product release note updates, and help establish repeatable processes for keeping documentation accurate and useful over time.

Key Responsibilities

  • Review existing product documentation in English and French to identify outdated content, branding inconsistencies, formatting issues, and functional gaps.

  • Update, rebrand, reformat, and restructure documents to improve clarity, usability, and alignment with current standards.

  • Use product release notes to identify product changes that need to be reflected in customer-facing or internal documentation.

  • Access product systems or environments to validate workflows and capture updated screenshots.

  • Rewrite and reorganize content using adult learning principles, including task-based structure, clear instructions, logical flow, and practical examples.

  • Partner with Product Managers and subject matter experts to clarify product functionality, understand documentation needs, and build an ongoing documentation feedback loop.

  • Help establish repeatable processes for document review, updating, version control, and ongoing maintenance.

  • Support consistency across documentation templates, terminology, tone, formatting, and bilingual content standards.

  • Identify opportunities to make documentation more functional, searchable, and easier for users to follow.

Qualifications

  • Currently enrolled in a post-secondary program in Technical Communication, English, French, Communications, Instructional Design, Education, Translation, Business, or a related field.

  • Strong written communication skills in English and French.

  • Ability to review complex information and rewrite it in a clear, structured, user-friendly way.

  • Strong attention to detail, organization, and consistency.

  • Comfort learning new software systems and using them to validate content or capture screenshots.

  • Interest in technical writing, documentation strategy, product communication, instructional design, or adult learning.

  • Ability to collaborate with Product Managers, subject matter experts, and cross-functional teams.

  • Experience with Microsoft Office, SharePoint, documentation tools, knowledge bases, or content management systems is an asset.

Preferred Skills

  • Familiarity with adult learning principles or instructional design concepts.

  • Experience translating, editing, or reviewing bilingual content.

  • Basic understanding of software products, product releases, or release notes.

  • Comfort working with templates, style guides, branding standards, and document repositories.

  • Ability to identify process gaps and recommend practical improvements.
