What is insurance procurement?

Insurance procurement refers to the process of identifying, evaluating, and purchasing insurance policies to protect an individual or organization against potential risks or losses. This process involves assessing the insurance needs, researching available policies, soliciting bids from insurance providers, and selecting the most appropriate coverage based on cost and terms. Insurance procurement can apply to a wide range of insurance types, including property, liability, health, and more, depending on the needs of the person or business. Professionals in this field often work closely with insurance brokers, agents, and underwriters to ensure adequate coverage is obtained.

What are the key skills and qualifications needed to thrive in insurance procurement?

To thrive in Insurance Procurement, you need a solid understanding of risk management, insurance products, and procurement processes, often supported by a degree in business, finance, or a related field. Familiarity with contract management systems, insurance databases, and procurement software such as SAP Ariba or Oracle Procurement is typically required. Strong negotiation, analytical thinking, and communication skills help professionals build relationships with insurers and secure optimal terms. These skills are vital to effectively manage organizational risk, control costs, and ensure comprehensive coverage.

What are some common challenges faced in an insurance procurement role, and how can they be addressed?

One common challenge in Insurance Procurement is balancing comprehensive coverage with cost-effectiveness, as it requires thorough market research and negotiation with multiple providers. Professionals in this role often need to stay updated on changing regulations and policy options, which can be time-consuming. Collaborating closely with internal stakeholders to accurately assess risk exposure and coverage needs is crucial. To address these challenges, cultivating strong provider relationships, leveraging data analytics for informed decision-making, and regularly reviewing policy performance are recommended industry practices.

Job description

Procurement Coordinator
Since its establishment, TAWA Services, Inc. has been committed to providing exceptional service and support to the diverse Asian American communities. Leveraging our extensive network and global resources, we ensure timely and efficient delivery of quality goods across the United States. Our dedication to excellence and community underscores the vital role of service in enhancing everyday life. TAWA Services, Inc. invites you to be a part of our mission and team!

Summary
We are seeking a detail-oriented and proactive Procurement Coordinator to join our Procurement Department. This role is pivotal in ensuring operational efficiency by managing end-to-end procurement processes, maintaining accurate inventory data, and fostering strong communication between internal departments (including stores and operations) and our vendors. The ideal candidate will be a strong problem solver who can navigate complex supply chain tasks, handle system data with precision, and act as a reliable bridge between internal needs and vendor solutions.
Key Responsibilities:
Procurement Operations & SAP Management:
  • Execute and monitor the full purchase order (PO) lifecycle within SAP, ensuring timely processing, accuracy, and proper maintenance of procurement records.
  • Proactively monitor lead times for both standard orders and new product launches to prevent stockouts and operational delays.
  • Assist in maintaining product master data, pricing, and vendor information within the ERP system.
  • Assist in cost analysis and identify opportunities for cost savings and process improvements.
Cross Departmental Collaboration:
  • Act as a professional liaison between internal stakeholders (e.g., store managers, marketing, operations) and vendors.
  • Ensure procurement requests from internal departments include all required information (e.g., MOQ, technical specifications, estimated usage, and approved budget) before processing, acting as a gatekeeper to prevent wasteful or incorrect procurement.
  • Provide timely updates on order status, ETA, and any potential supply chain disruptions to affected departments.
  • Coordinate with warehouse and logistics teams to ensure timely receipt of goods and resolve delivery discrepancies.
Vendor & Inventory Management:
  • Coordinate with vendors for quotations, order confirmations, and effective issue resolution (e.g., shipping delays, quality issues, or billing discrepancies).
  • Monitor inventory levels to minimize stockouts and assist in tracking excess or obsolete inventory to optimize inventory carrying costs.
  • Ensure all procurements comply with company policies and formal purchasing procedures (e.g., preventing unauthorized "emergency" purchases outside of standard workflows).
  • Perform other duties as assigned by management.

Qualifications & Requirements:
  • Education: Bachelor’s degree in Business, Supply Chain, Logistics, or a related field.
  • Experience: Minimum of one year of professional procurement or purchasing experience.
  • Language: Fluent in English and Chinese Mandarin is required.

Technical Skills:
  • Strong proficiency in Microsoft Excel (data analysis, report generation, and formula usage) and Google Workspace applications (e.g., Gmail, Google Sheets, Drive, and Slides).
  • Experience with ERP systems is highly preferred (SAP knowledge is a significant plus).

Professional Competencies:
  • Excellent Communication: Ability to translate technical or operational needs into clear communications for vendors, and provide professional feedback to internal departments regarding procurement processes.
  • Organizational & Problem Solving: Ability to manage multiple projects simultaneously, prioritize tasks in a fast paced environment, and proactively resolve discrepancies.
  • Industry Knowledge: Previous experience in the grocery or retail industry is a plus.
  • Soft Skills: A service-oriented mindset with the ability to maintain high standards while building collaborative relationships across departments and with vendors.

Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • This job may require standing or walking for extended periods of time, lifting up to 50 pounds, and performing repetitive motions.

Working Conditions:
  • This job is performed in an environment that may have exposure to heat, noise, and other environmental factors.

Position Details:
  • Employment Type: Full Time.
  • Location: 6338 Regio Ave, Buena Park, CA 90620.
  • Schedule flexibility may occasionally be required based on business needs.

Benefits:
  • Medical, Dental, Vision, and Life Insurance.
  • 401 (k) Retirement Saving Plan with 4% Company Match.
  • LongTerm Services Award.
  • Employee Discount.
  • Paid Time Off.

Compensation:
The pay range for this job starts at $24.00  $30.00 hourly. This is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) the responsibilities of the job, your education, skills, qualifications, experience, and location.
