Position Summary: The Preconstruction Procurement & Trade Partner Coordinator supports Wallick Construction's procurement, subcontractor prequalification, trade partner administration, bid coordination, subcontract support, and compliance tracking across the development and construction portfolio. This role serves as the operational backbone of the preconstruction procurement process by maintaining the approved trade partner network, supporting bid activity, tracking compliance documentation, and helping project teams obtain qualified, compliant trade partners on schedule
Qualifications Required:

• Associate degree in Construction Management, Business Administration, Supply Chain Management, Project Management, or related field preferred; equivalent industry experience may be considered.

• Minimum of three years of experience in construction administration, procurement, estimating support, project coordination, subcontract administration, or related construction support functions.

• Working knowledge of subcontractor procurement processes, bid administration, construction documentation, and compliance tracking.

• Strong organization, professional communication, follow-through, problem-solving, data accuracy, customer service, and priority management skills.

Preferred Qualifications

• Experience with multifamily construction, LIHTC development, Procore, BuildingConnected, construction procurement systems, contractor prequalification, insurance and bonding administration, bid administration, subcontract execution support, and procurement reporting

Functions and Responsibilities:
• Maintain and improve the approved trade partner database, including contact information, trades, geographic service areas, qualification status, and participation history.
• Recruit and source qualified trade partners to support geographic expansion, upcoming projects, bid coverage, and trade-specific capacity needs.
• Support preferred trade partner relationships by maintaining performance records, project evaluation data, and participation or utilization reporting.
• Collect, organize, and maintain subcontractor prequalification documentation, including financial information, references, project experience, workforce capacity, safety records, OSHA documentation, EMR verification, insurance, bonding, licenses, W-9s, corporate records, and litigation disclosures.
• Prepare complete qualification packages for review and approval, monitor expiration dates, coordinate annual updates, and maintain audit-ready files.
• Ensure approved subcontractors meet Wallick requirements before being used on projects or considered for award.
• Prepare invitations to bid, maintain bidder lists, distribute plans, specifications, addenda, and procurement documents, and manage procurement calendars.
• Coordinate bidder questions and responses, track bid participation, organize bid submissions, prepare bid comparison summaries, and maintain procurement logs.
• Support subcontractor selection, award documentation, and consistent procurement recordkeeping from bid release through contract execution.
• Maintain current certificates of insurance, contractor licenses, bonding documentation, safety records, equal opportunity documentation, and required funding-source compliance materials.
• Support Procore, BuildingConnected, procurement databases, electronic records, reporting analytics, data cleanup, and future technology implementations.
• Prepare recurring reports related to approved trade partners, prequalification status, insurance compliance, licensing compliance, procurement activity, bid participation, trade coverage, and contractor performance.
• Respond to procurement-related requests, support subcontractor sourcing, assist with project startup documentation, turnover and closeout records, performance reviews, forecasting, and planning activities.
• Standardize templates, workflows, procurement procedures, communication processes, reporting tools, training support, administrative processes, and Construction Operations Modernization initiatives.

• Ability to operate standard office equipment and construction management systems.

• Ability to review procurement records, compliance files, bid documents, reports, and electronic project documentation for extended periods.
• Occasional project-related or meeting-related travel may be required based on business needs.
