Job description

Position Overview:


Our client is seeking a highly organized and proactive Investment & Insurance Operations Associate to support the day-to-day execution of both investment and insurance operations. This person will play a critical role in ensuring client accounts, insurance cases, and operational workflows are handled with accuracy, urgency, and a high level of client service.


The ideal candidate is detail-oriented, operationally strong, proactive, and comfortable managing multiple moving pieces in a fast-paced environment.


Key Responsibilities:


Investment & Insurance Operations:


  •  Manage investment and insurance new business from submission through completion 
  •  Prepare and submit account paperwork with a high level of accuracy 
  •  Process account openings, transfers, rollovers, contributions, withdrawals, and other client transactions 
  •  Track cases across custodians and internal systems to ensure timely execution 
  •  Coordinate with custodians, carriers, and internal team members throughout the process 



Insurance Operations & Case Management:


  •  Process insurance applications from underwriting through policy delivery 
  •  Coordinate medical exams and gather underwriting requirements 
  •  Monitor case progress and proactively follow up on outstanding items 
  •  Support ongoing policy servicing including beneficiary updates, loans, payments, and policy changes 



Client Service & Advisor Support:


  •  Serve as a point of contact for operational and service-related client requests 
  •  Communicate professionally with clients, advisors, and external partners 
  •  Support advisors by preparing materials and ensuring operational readiness 
  •  Help deliver a seamless, high-touch client experience 



Operations & Process Improvement:


  •  Maintain accurate CRM and operational records 
  •  Ensure workflows stay organized and nothing falls through the cracks 
  •  Identify inefficiencies and help improve operational processes 
  •  Assist in building scalable systems to support the firm’s continued growth 



Qualifications:


  •  Experience within financial services, wealth management, insurance, or investment operations preferred 
  •  Strong attention to detail and organizational skills 
  •  Ability to manage multiple priorities in a fast-paced environment 
  •  Strong communication and problem-solving abilities 
  •  Experience working with CRM systems and operational platforms 
  •  Licenses: Life & Health Insurance and/or Series 6 or 7 required
