Description


We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to the Executive Vice President of Credit and Operations. The ideal candidate will be a detail-oriented professional with excellent communication and time management skills. This role is critical to ensure the EVP's and DC offices daily operations run smoothly, allowing them to focus on strategic decision-making and business growth. 


Requirements


Administrative Support

  • Manage the EVP's schedule, including calendar management, appointment scheduling, and travel arrangements. 
  • Act as the first point of contact between the EVP and internal/external stakeholders, demonstrating professionalism and discretion.
  • Prepare and organize documents, reports, presentations, and correspondence for the EVP.
  • Handle emails, responding to or directing inquiries as appropriate.
  • Serve as the primary point of contact for the Washington, DC office, coordinating closely with on-site business units to manage day-to-day office needs, including oversight of office events, ordering supplies, process mail and deliveries, overseeing facilities-related requests, and maintaining effective collaboration with headquarters and satellite offices.

Meeting Coordination

  • Schedule, coordinate, and prepare materials for meetings, conferences, and presentations.
  • Attend meetings with the EVP, take meeting minutes, and follow up on action items.
  • Ensure that meeting rooms are set up, and necessary equipment and materials are available.

Information Management

  • Organize and maintain files, records, and databases in a systematic and accessible manner.
  • Research and compile data on various topics, as requested by the EVP.
  • Assist with data entry, data analysis, and report generation as needed.

Communication

  • Draft, proofread, and edit various documents, including emails, reports, and memos, to ensure accuracy and clarity.
  • Manage the EVP's email inbox, flagging important messages, and prioritizing correspondence.
  • Screen and direct phone calls, taking messages and ensuring that urgent matters are addressed promptly.

Project Support

  • Assist the EVP with special projects and initiatives as assigned.
  • Collaborate with other team members to ensure the successful completion of projects.
  • Track project deadlines and deliverables, providing regular updates to the EVP.

Agency Technology Support

  • Manage user access for Fannie Mae and Freddie Mac Multifamily applications, including maintaining access lists and processing new, modified and terminated access requests. 
  • Troubleshoot technical and access-related issues, coordinate escalations with agency support teams and ensure compliance with internal and external system controls. 

Expected Experience, Skills and Education

  • Bachelor's degree preferred.
  • Proven experience as an executive assistant or similar role, preferably in the real estate industry.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Flexibility to adapt to changing priorities and work in a fast-paced environment.
  • Professional demeanor and the ability to represent the EVP and the company effectively.


Pay Range

The total compensation pay range for new hires in Washington D.C. is $75,000 - $85,000 annually. This range includes a base pay, plus an annual discretionary bonus. The amount of any actual bonus may vary and is subject to individual and company performance. Please note that the pay range provided is a good faith estimate of total compensation for the position at the time of posting. Actual total compensation will be dependent on factors, including but not limited to, the individual's qualifications, experience, knowledge, skills, and abilities.
