This is a fully remote volunteer role.

Random Acts is a non-profit that inspires acts of kindness around the world. We provide a vast network of caring people with the encouragement and support they need to change lives for the better. All our roles are 100% unpaid volunteers.

We have an opportunity to join our team of volunteers as our Executive Assistant, ensuring the general organization and support of our executive team.

Role Description:

The main function of the Executive Assistant is to provide support to the Executive team. You will work with the Directors and their deputies as an essential part of the Executive team.

Your role will include:

  • Managing clerical and administrative tasks.
  • Organizing and facilitating meetings across various time zones.
  • Taking meeting notes.
  • Working both independently and collaboratively to support and lead projects.

This position will take approximately 5 hours per week.

Role Responsibilities:

  • Serve as a communication point for staff to arrange meetings and events.
  • Provide oversight on all external facing media.
  • Ensure clear and consistent messaging between leadership and staff.
  • Schedule meetings.
  • Organize and maintain documents and reference materials.
  • Plan and organize meetings and events.
  • Conduct research, analyze data, and prepare reports and documents.
  • Record, transcribe, and distribute meeting notes.
  • Communicate with all staff/volunteers to follow up on assignments, meeting scheduling, and task completion.
  • Monitor, respond to, and distribute incoming communications.
  • Monitor and support follow up on acts arising from meetings or events.
  • Coordinate project-based work.
  • Attend regular staff and departmental meetings.
  • Contribute to other projects and responsibilities as requested by the executive team.

  • Experience with minutes taking (preferred, not required)
  • Ability to proofread documents in English (American English style guide preferred, but not required
  • Experience creating documents, presentations, spreadsheets using office applications (e.g, MS Office, Google Suite)
  • Minimum of one year of experience providing administrative support
  • Skilled in the Google suite of office tools (preferred, not required)
  • Experience using virtual meeting applications (e.g., Zoom, Google Meet) (preferred, not required)
  • Experience coordinating meetings and events across time zones (preferred, not required)
  • Knowledge of standard administrative practices and procedures
  • Awareness of Diversity, Equity inclusion, and Belonging practices (preferred, not required)

Qualifications

  • Completion of secondary education appropriate to your country.
  • Associate’s or Bachelor's degree( preferred, not required)
