Job Summary
The Registration Intake Specialist is responsible for completing accurate and efficient patient registration and insurance verification processes. This role supports the patient experience by gathering essential demographic, clinical, and financial information, ensuring compliance with regulatory standards, and providing exceptional customer service during the intake process. The Registration Intake Specialist works closely with patients, families, and clinical departments to support timely and informed care delivery.
Essential Functions

  • Greets patients and families in a professional and compassionate manner, ensuring a positive first impression and accurate collection of patient information.
  • Obtains, verifies, and enters patient demographic and insurance data into the registration system, maintaining accuracy and confidentiality.
  • Verifies insurance eligibility using electronic systems, identifies the appropriate insurance plan codes, and interprets responses for accurate billing and reimbursement.
  • Obtains patient or legal representative signatures on all necessary consent and authorization forms, explaining content and documenting exceptions or limitations appropriately.
  • Screens for medical necessity using tools such as the Advanced Beneficiary Notice (ABN) and ensures proper documentation and distribution of required forms.
  • Communicates effectively with clinical and ancillary departments regarding patient arrival and status, ensuring timely coordination of services.
  • Counsels patients on financial responsibilities, including co-pays, deposits, and self-pay options, and collects payments when applicable.
  • Secures patient valuables upon admission, maintaining accurate records according to facility policy.
  • Operates a multi-line phone system as needed to manage incoming and outgoing communications.
  • Participates in emergency procedures by maintaining communication with key personnel during codes or facility alerts.
  • Maintains organized documentation, facilitates quick retrieval of records, and supports efficient patient flow through the intake process.
  • Performs other duties as assigned.
  • Maintains regular and reliable attendance.
  • Complies with all policies and standards.

Qualifications

  • Associate Degree in Healthcare Administration, Business, or a related field preferred
  • 0-2 years of experience in patient registration, intake, or insurance verification required
  • Experience in a hospital or healthcare setting preferred

Knowledge, Skills and Abilities

  • Strong knowledge of registration systems, insurance verification tools, and patient intake processes.
  • Ability to interpret insurance responses, explain financial obligations, and collect payments.
  • Excellent verbal and written communication skills with a focus on customer service.
  • Attention to detail and accuracy in data entry and documentation.
  • Ability to handle sensitive patient information with discretion and maintain confidentiality.
