Your Day: Where People, Schedules & Great Care Come Together

As a Scheduling Coordinator, you'll be at the center of our day-to-day operations. You'll connect clients with the caregivers who can best support their needs, keep schedules running smoothly, anticipate what's coming next, and help our team respond when plans change.
You'll work closely with our Care Coordinator and HR Coordinator, as well as caregivers, clients, and families, to ensure the right people have the right information at the right time. Together, you'll help create a seamless experience for both our clients and our care team.
No two days are exactly the same—and that's part of what makes the role rewarding.
What You'll Do

  • Connect clients with care by coordinating caregiver schedules that meet each client's needs and care plan.
  • Be the First point of contact answering Qualicare inquiries and setting a tone for the Quality of our services and people while problem solving and or directing calls 
  • Work closely with the Care Coordinator to understand client needs, changes in care requirements, and priorities when building and adjusting schedules.
  • Collaborate with the HR Coordinator to support caregiver availability, staffing needs, onboarding information, documentation, and other team requirements.
  • Keep the big picture in view by monitoring referrals, client volumes, staffing levels, and upcoming scheduling needs.
  • Be the calm in the busy moments by responding quickly and thoughtfully to client and caregiver questions, changes, and unexpected challenges.
  • Stay one step ahead by anticipating staffing needs and identifying potential scheduling gaps before they become problems.
  • Keep everyone connected by making sure important information is received, documented, and communicated clearly—whether it comes by phone, email, electronically, or in person.
  • Help keep our records on track by assisting with tracking and validating client-related documentation.
  • Listen and learn by checking in on client satisfaction and helping us understand what is working well and where we can do better.
  • Turn challenges into solutions by responding promptly to incidents, complaints, and compliments, documenting them thoroughly, and ensuring the Care Coordinator has the information they need.
  • Support our caregivers by being a reliable point of contact and helping them navigate schedule changes, client needs, and day-to-day challenges.
