Westwood Professional Services, Inc. is hiring a Contract Manager to join our team in our Plano office. Westwood has a highly experienced and dynamic team of individuals dedicated to providing high-level professional services to our clients.
As a contract manager, you're responsible for a full range of contract management and administration actions as a part of Westwood's Legal Team supporting Westwood's business operations. In this highly visible role, you'll provide significant contracts guidance and support to the business, project managers, and leadership on all phases of client contracts, subconsultant contracts, certificates of insurance, and the contract lifecycle within our contract management software. This position will require 5-10% travel.
Requirements
  • Be the first point of contact for contractual matters and oversee the direct follow-up of aspects associated with significant client contracts in coordination with the legal team
  • Increase efficiencies by significantly reducing the amount of time project managers spend with contractual processes
  • Support development of Westwood's contract management software (Contract Logix)
  • Coordinate with Westwood's insurance brokers and manage all certificate of insurance matters in connection with contracts
  • Monitor contracts and move forward with close-out, extension, or renewal of contracts per the company's contract policy
  • Support solutions to any contract-related problems that may arise with internal or external parties
  • Work closely with the division teams, including project managers, project assistants, and operational teams as well as support functions (Legal, HR, Risk, etc.)
  • Responsible for ensuring awareness of and compliance with Westwood's contract management process at all levels of the company
  • Create and update process and data flows and other project documentation regarding project phases, risks, issues, open questions, and assumptions
  • Help and coordinate sub-consultant processes and methods to identify and approve sub-consultants
  • Manage and develop KPIs, SLAs and other contracting data
  • Ensure contract information in the contract management software is current, accurate, and complete
  • Effectively implement and manage contract responsibilities with internal and external clients to achieve operational and financial objectives
  • Prioritize workflow and manage request volumes to maximize efficiency and drive the urgency of deals
  • Collaborate with key business stakeholders in Westwood divisions to gather approvals for non-standard terms
  • Handle additional responsibilities and duties as assigned, including general support of all Legal Team activities

Required Experience and Skills:
  • Advanced understanding of contract management and risk associated
  • Ability to work with minimal supervision and work collaboratively with several different teams daily
  • Experience in a fast-paced, dynamic organization
  • Experience in risk identification and management
  • Excellent written and verbal communication skills
  • Ability to present to all levels of management and leadership within Westwood

Preferred Experience
  • Prefer five years of experience working in a similar role at an AEC firm.
  • Paralegal certification or formal training is highly preferred
  • An associate's or bachelor's degree in business, marketing or communications,
  • Previous experience working with certificates of insurance (COI)
  • Experience with using contract management software is preferred
