Job description

Overview

Our specialized delivery approach gives us an edge on the competition by providing world class service at an affordable price.
The Logistics Insurance Complliance Specialist is responsible for Contractor Onboarding, Insurance and Compliance for a designated region in support of the TopHAT corporate office to promote the achievement of set long-term goals for TopHAT Logistical Solutions.
Key Responsibilities:
  • Responsible for completing new hire processing and contractor onboarding. Ensure background checks and drug tests are approved and completed.
  • Responsible for completing Employment Verification process.
  • Oversee process for Costco drivers using XTD Force.
  • Consistent Openforce review.
  • Ensure DOT/MC Authority Authorization is completed and compliant.
  • Oversee new location start up process. Enter rate sheets into OpenForce and particpate in start up calls.
  • Communication with all CC's regarding COI's as well as onboarding process and approvals.
  • TruckRequests processing for selected region.
  • Evaluate COIs against TopHAT Insurance Requirements, exercising discretion in preliminary approvals. Collaborate with Location Managers, Common Carriers, and insurance agents to resolve discrepancies and escalate complex issues for final managerial review.
  • Proactively monitor expiring policies using the Gallagher Verify (GV) dashboard. Ensure timely communication with stakeholders and receipt of updated, compliant COIs to maintain uninterrupted vendor compliance.
  • Own the organization and accuracy of insurance records across SharePoint, email folders, and GV. Ensure documentation is audit-ready and accessible for internal and external stakeholders.
  • Approve new vendor onboarding requests and coordinate Active Vendor submissions to GV. Oversee termination processes by notifying GV, BizChoice, and OpenForce, ensuring seamless transitions and compliance closure.
  • Serve as a liaison between internal teams, vendors, and insurance agents. Provide guidance on coverage requirements, clarify compliance expectations, and facilitate resolution of insurance-related issues.
  • Navigate and maintain data within Gallagher Verify and OpenForce platforms to ensure accurate tracking of vendor compliance, coverage status, and policy expirations.
  • Prioritize and process incoming insurance-related correspondence. Ensure critical documents are scanned, reviewed, and stored in accordance with compliance protocols.
  • Facilitate vendor enrollment in the Occupational Accident program by distributing OpenForce DocPush documents and assisting with coverage inquiries.
  • Other duties may be assigned.

Qualifications
What You'll Need:
  • Bachelor's or Associate's Degree.
  • 2-4 years' job-related experience and/or a combination of both education and experience are required.
  • Effective problem-solving, oral, and written communication skills.
  • Experience in Logistics/In-Home Delivery preferred.
  • Ability to establish and maintain effective working relationships with employees, clients, and other outside organizations.
