Exempt: $51,000-60,000 per year

Supervisory Responsibility

Directly or indirectly   supervises personnel within assigned quality assurance, program quality,   compliance, training, data management, and technology oversight functions.

Typical Schedule

Monday through Friday, with   hours varying between 7:30 a.m. and 7:00 p.m.; occasional nights, weekends,   and local/non-local travel to conferences and trainings with proper notice.

Position Summary

The Quality Assurance Officer is responsible for leading the organization's quality assurance, program quality, compliance, training, data management, and technology oversight functions. This position functions as a member of the Senior Leadership Team and plays an integral role in ensuring operational excellence, accountability, and continuous improvement across all Boys & Girls Club of the Northern Neck locations.

As a key member of the Senior Leadership Team, this position provides strategic guidance, operational support, and quality-focused leadership that advances the organization's mission and long-term impact. Through collaboration, innovation, and a commitment to excellence, the Quality Assurance Officer helps ensure that programs, systems, and people are equipped to meet the evolving needs of the communities served.

The Quality Assurance Officer role is about more than compliance, data management, and program oversight. It is about ensuring that every young person who walks through the doors has access to high-quality programs, safe environments, and meaningful opportunities to succeed. By championing continuous improvement, strengthening organizational accountability, and supporting staff excellence, this role helps create the foundation that allows the Clubs to deliver life-changing experiences for youth across the Northern Neck.

Essential Duties and ResponsibilitiesQuality Assurance and Continuous Improvement

· Lead the development, implementation, and continuous improvement of organizational quality assurance systems and practices.

· Conduct organizational reviews, quality assessments, and compliance monitoring activities.

· Promote a culture of continuous improvement through collaboration, coaching, and organizational support.

Program Quality and Outcomes

· Monitor implementation of BGCA program quality standards and best practices.

· Coordinate program quality assessments across all organizational sites.

· Support outcome-based programming and youth development goals.

Grant Compliance and Monitoring

· Monitor compliance requirements for federal, state, local, and private grants.

· Track grant deliverables, outcomes, deadlines, and reporting requirements for assigned grants.

· Oversee grant compliance monitoring and performance reporting for assigned grants; this position is not responsible for grant invoicing or financial drawdowns.

Information Technology

· Provide first-level technical support for common software, email, and account access issues.

· Troubleshoot basic workstation, printer, and connectivity issues and escalate complex hardware problems to external vendors.

Club Information Systems Administration

· Serve as the primary administrator of the MyClubHub membership management system, overseeing member enrollment, account maintenance, and program registration.

· Maintain accurate member, family, attendance, and program participation records to ensure data integrity and compliance.

· Generate and analyze reports to support operational planning, grant reporting, program evaluation, and organizational decision-making.

· Provide training and technical support to staff and families regarding MyClubHub processes, account access, and system functionality.

· Develop and maintain database procedures and best practices to improve efficiency, accuracy, and user adoption.

· Conduct periodic data audits and reconciliations to verify the accuracy and completeness of membership, attendance, and program data and support reliable year-end reporting and compliance requirements.

Organizational Leadership

· Provide leadership to build and foster a positive culture of excellence and teamwork that promotes employee engagement at all levels.

· Participate with other executive staff and the Board in formulating and updating the agency strategic plan.

· Perform other duties as needed for the benefit of the Boys & Girls Club of the Northern Neck.

Additional Responsibilities

· Directly or indirectly supervise personnel within the functions described above.

· Attend meetings of the Executive Committee, Corporate Board, and Unit Boards as requested.

· Attend and participate in required professional development opportunities, including local training, conferences, and assigned regional or national conferences, which may require travel.

Working Relationships

Internal: Maintain close daily contact with BGCNN team members to receive and provide information, discuss issues, explain guidelines and instructions, instruct, advise, counsel, coordinate work, and support organizational accountability.

External: Maintain professional contact with other Boys & Girls Clubs, nonprofit organizations, vendors, consultants, government agencies, community organizations, and other stakeholders to achieve organizational goals, manage costs, share information, resolve issues, and maintain professional credibility within the community.

Requirements: QualificationsEducation and Experience

· Bachelor's degree from an accredited college or university in business administration or a related field preferred.

· Experience with Boys & Girls Clubs of America standards, program quality frameworks, and organizational requirements preferred.

· Experience with MyClubHub or comparable membership and youth management systems preferred.

· Experience working in nonprofit organizations, youth-serving agencies, or community-based programs preferred.

· Experience supporting accreditation, quality standards, compliance monitoring, or continuous improvement initiatives preferred.

Knowledge, Skills, and Abilities

· Knowledge of Boys & Girls Clubs of America standards, program quality frameworks, and organizational requirements.

· Familiarity with Virginia child safety requirements and youth-serving organization regulations.

· Strong organizational and analytical skills.

· Ability to interact professionally with Club staff, Board members, volunteers, and related agencies.

· Strong computer aptitude and proficiency in Microsoft Excel and Word.

· Excellent communication skills with the ability to present data analysis and findings in verbal and written formats that are accessible to management, board members, program and development staff, and external constituencies.

· Demonstrated ability to plan, set priorities, lead across multiple areas of responsibility, motivate colleagues, and maximize impact in an environment of limited resources.

· Ability to use common office equipment.

Required Certifications and Conditions

· Must become registered with Boys & Girls Clubs of America systems and complete all assigned training.

· Must possess a valid driver's license and be insurable under BGCNN standards.

· May be required to obtain First Aid and CPR certifications.

Physical Requirements and Work Environment

· Ability to perform duties requiring regular sitting, use of hands to finger, handle, or feel, talking, and hearing.

· Ability to occasionally walk and lift or move up to 25 pounds.

· Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.

· Employee may be required to drive for errands.
