The Team and the Role

Reporting to the Program Manager, the Secretary III provides senior-level administrative and organizational support to managers, technical staff, and functional teams on the Administrative Support Services contract in Corona, CA. The role coordinates office operations, manages schedules and correspondence, prepares reports and presentations, maintains records, supports meetings and events, and ensures administrative requirements are completed accurately and on time.
What You'll Do
  • Provide advanced administrative support to government leadership, branch managers, and technical staff by managing calendars, scheduling meetings, conferences, travel, and facility reservations.
  • Prepare, edit, proofread, and distribute correspondence, reports, memorandums, technical documentation, presentations, meeting agendas, briefing materials, and meeting minutes while tracking action items and ensuring timely completion of assigned tasks.
  • Maintain electronic and hard-copy filing systems, records, and information within government databases in compliance with records management requirements, while tracking suspense items, action requests, deliverables, and administrative deadlines.
  • Coordinate communications among government personnel, contractors, customers, and external organizations, while supporting onboarding activities, visitor coordination, conference planning, and other administrative logistics.
  • Develop spreadsheets, databases, charts, metrics, and management reports to support leadership decision-making and continuous process improvement initiatives, including Rapid Improvement Events (RIE), Lean initiatives, and Root Cause Analysis (RCA).
  • Maintain accountability for office supplies, equipment, records, and administrative resources while safeguarding Controlled Unclassified Information (CUI), Personally Identifiable Information (PII), and other sensitive government information in accordance with applicable regulations.
  • Perform additional administrative and organizational duties as required to support mission execution.
  • Bid and proposal support if requested.
  • Other duties as assigned.

What We're Looking For
Required Qualifications:
  • The ability to obtain and maintain an active secret clearance is required to be considered for this position.
  • HS Diploma / GED required.
  • At least five (5) years of administrative or executive support experience, preferably supporting the Department of Defense, Department of the Navy, or other Federal Government organizations.
  • Experience preparing professional correspondence, reports, spreadsheets, presentations, meeting documentation, and maintaining administrative records.
  • Must possess basic computer literacy and data entry skills.
  • Demonstrated proficiency in Microsoft Office applications (to include MS Word, Excel, PowerPoint, etc.).
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Demonstrated problem-solving skills.
  • Must possess strong time management skills.
  • Must be able to work in a fast-paced, changing, and challenging environment.
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.

Desired Qualifications:
  • Associate's degree from an accredited university in business administration or a related technical field.
  • Experience supporting Naval Surface Warfare Center (NSWC), Naval Undersea Warfare Center (NUWC), NAVSEA, or other Department of the Navy organizations.
  • Experience using Navy administrative systems including N-ERP, NIS, Access Enforcer, SharePoint, Microsoft Teams, Power BI, Power Automate, Tableau, or similar Government business systems.

Physical Requirements:
  • Must be able to remain seated in a stationary position 50% of the time. Must also be able to alternate between sitting, standing, and walking.

INDUS aims to provide a competitive compensation package, including a strong pay for performance rewards approach. The expected base pay range for this position is $26.95 - $28.50 per hour. This position is eligible to participate in our corporate 401(k) and Employee Stock Ownership Plan (ESOP) programs, and may be eligible for performance bonuses, and other rewards and benefits (see more about our compensation package and benefits offered at Culture @ INDUS | INDUS Technology). The pay range for this role considers job-related knowledge, skills, work location, education and training, and certifications.
