What is an independent contractor executive assistant?

An Independent Contractor Executive Assistant is a self-employed professional who provides administrative and executive support to businesses or individuals on a contract basis, rather than as a traditional employee. They handle tasks such as managing schedules, organizing meetings, handling correspondence, and other executive-level duties. Because they are contractors, they typically work with multiple clients, set their own hours, and are responsible for their own taxes and benefits. This arrangement offers flexibility for both the assistant and the client, allowing tailored services without the commitments of full-time employment.

What are some common challenges independent contractor executive assistants face when supporting multiple clients remotely?

Independent Contractor Executive Assistants often juggle the demands of several clients, each with unique expectations, priorities, and communication styles. Managing shifting deadlines, keeping track of various schedules, and ensuring clear boundaries for availability can be challenging. Successful contractors use robust organizational tools, prioritize transparent communication, and establish clear contracts on deliverables and response times. Building trust with clients while maintaining work-life balance is key, and adapting quickly to changing needs is a valuable skill.

What are the key skills and qualifications needed to thrive as an independent contractor executive assistant, and why are they important?

To thrive as an Independent Contractor Executive Assistant, you need strong organizational abilities, time management, and proficiency in administrative tasks, often supported by prior experience or relevant training. Familiarity with office software suites (like Microsoft Office and Google Workspace), virtual meeting platforms, and project management tools is typically required. Exceptional communication, discretion, and proactive problem-solving are crucial soft skills for building trust and anticipating client needs. These skills ensure you can efficiently support executives remotely, maintain professionalism, and manage multiple priorities independently.

Broccoli AI

Job description

About Broccoli
At Broccoli, we're building AI teammates for the people who build and maintain our world.
We partner with plumbing, HVAC, and electrical contractors, the hardworking businesses that keep homes and communities running, and replace fragmented software and repetitive manual work with AI that actually gets the job done.
Our AI teammates answer phones, book appointments, follow up with customers, recover missed revenue, and help contractors deliver exceptional customer experiences, all while integrating seamlessly with platforms like ServiceTitan.
Before we wrote a single line of code, we visited more than 140 contractors to understand how these businesses truly operate. That firsthand experience shaped everything we've built.
Today:
  • Hundreds of contractors rely on Broccoli every day.
  • We've grown to $15M+ ARR in under two years.
  • We're trusted by everyone from independent contractors to some of the largest private equity backed operators in the home services industry.
  • We're backed by Khosla Ventures and Y Combinator.
We're still just getting started.
The Role
We're hiring an Executive Assistant to support our CEO directly. You'll manage the calendar, own communications and travel, and make sure priorities, follow-ups, and commitments don't fall through the cracks. This is a role with real access and trust. You'll be closely involved in how the company operates and how decisions get made, not just the logistics behind the scenes.
This role is focused on supporting the CEO primarily with the potential to expand to support additional members of the executive team as the company scales.
This role is based in our San Francisco office and is in-person.
What You'll Own
Calendar and Communications
  • Own the CEO calendar end to end: proactive scheduling, ruthless prioritization, and protecting focus time.
  • Triage and manage the inbox, flagging what needs attention and drafting responses where appropriate.
  • Prepare the CEO for meetings with agendas, background, and relevant context pulled together in advance.
Travel and Logistics
  • Plan and book domestic and international travel, and handle changes and complications in real time.
  • Coordinate offsites, retreats, board meetings, team events, and other company gatherings, including venues and vendor management.
Operational Support
  • Track action items and follow-ups from meetings so nothing falls through the cracks.
  • Support light project coordination on cross-functional initiatives the CEO is driving.
  • Help prepare materials for board meetings, all-hands, and other high-stakes communications.
  • Act as a trusted filter and calendar gatekeeper, understanding what genuinely needs the CEO's attention versus what can be redirected or handled directly.
Who You Are
You have:
  • 4+ years of experience as an Executive Assistant, ideally supporting a founder or C-level executive at a startup.
  • A demonstrated ability to operate with significant autonomy and discretion; this role will have visibility into sensitive company information.
  • Excellent written communication and comfort drafting on behalf of the CEO.
  • A bias toward anticipating needs rather than waiting to be asked.
  • A calm, steady presence under pressure and comfort with ambiguity; priorities shift quickly at this stage of company.
Nice to Have
  • Early stage startup experience.
  • Experience supporting more than one executive at the same time.
  • Familiarity with tools like Google Workspace, Slack, and travel management platforms.

Broccoli is an equal opportunity employer and complies with all applicable federal, state, and local employment laws. We celebrate diverse perspectives and believe great teams are built by people with different backgrounds, experiences, and ideas.
