Job Description:
Quality Support Specialist
Support the organization's mission, vision and values by adhering to the behavioral standards of Bay Area Hospital. Comply with all laws and regulations affecting Bay Area Hospital. Be familiar with and adhere to the Bay Area Hospital Code of Conduct and Compliance Program.
Effective communication skills and the ability to work effectively with people from various backgrounds are critical.
POSITION SUMMARY
Provides operational support for Quality and Patient Safety compliance functions. Coordinates daily activities, maintains documentation, supports reporting processes, and assists with regulatory readiness to ensure efficient department operations and compliance with organizational and regulatory standards.
PRINCIPLE DUTIES AND RESPONSIBILITIES
  • Provides operational and administrative support to the Quality department, ensuring efficient day-to-day workflow
  • Coordinates and maintains quality tracking systems, logs, and databases for audits, incidents, and performance metrics
  • Assists with data entry, report preparation, and distribution of routine and ad hoc quality reports
  • Supports regulatory readiness activities by organizing documentation, maintaining files, and tracking compliance requirements
  • Schedules and coordinates meetings, prepares agendas, and documents meeting minutes for quality, safety, and compliance committees
  • Tracks action items from meetings, audits, and improvement plans and follows up with departments for completion
  • Assists with incident reporting processes by monitoring submissions, ensuring completeness, and routing for appropriate follow-up
  • Maintains document control for policies, procedures, and quality-related materials, including formatting and version tracking
  • Serves as a point of contact for internal inquiries related to quality processes, documentation, and reporting tools
  • Coordinates audits and reviews by preparing materials, gathering data, and supporting logistics
  • Assists in onboarding and training coordination related to quality systems and processes
  • Organizes and maintains confidential files, including quality reviews and regulatory documentation
  • Supports communication and distribution of quality updates, reports, and department information
  • Provides cross-coverage and operational support to ensure continuity of department functions
  • Performs other duties as assigned

SKILLS AND ABILITIES
  • Proficient in Microsoft Office Suite, particularly Excel, Word, and Outlook
  • Strong organizational and administrative skills with attention to detail and accuracy
  • Ability to manage multiple priorities, track tasks, and meet deadlines
  • Effective communication and customer service skills when working with staff across departments
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Demonstrates initiative, reliability, and the ability to work independently with minimal supervision
  • Basic understanding of healthcare operations and quality processes.

EDUCATION/CERTIFICATIONS/LICENSES/DEGREES
  • Associate's degree in Healthcare Administration, Business, or related field preferred; equivalent experience may be considered
  • Basic Medical Terminology preferred

EXPERIENCE
  • Three (3) to five (5) years of administrative, operational, or coordination experience in a healthcare or related setting required.
  • Experience supporting department operations, reporting processes, or compliance activities preferred
