Data Entry Specialist

Join our growing HVAC-R contracting company as a Data Entry Specialist. The Data Entry Specialist is an entry-level role ideal for an organized, detail-oriented team player who values care, collaboration, and consistency. This position supports accurate and timely payroll processing by reviewing timesheets, validating technician labor, and maintaining payroll records. Working closely with field technicians and internal teams. The Data Entry Specialist ensures compliance, confidentiality, and reliable payroll operations in a fast-paced environment.

Essential duties and responsibilities:

Payroll & Timekeeping

  • Review technician timesheets against GPS records each Tuesday.
  • Validate daily labor entries for assigned technicians.
  • Enter and verify technician labor in the Time Management Board (Ventus).
  • Enter materials into service tickets as needed.

Payroll Support & Coordination

  • Assist with payroll processing and address related tasks as assigned.
  • Communicate with technicians and internal teams to resolve timekeeping or payroll discrepancies.
  • Support other departments as needed to ensure smooth operations.

Administrative Support

  • Assist with day-to-day office operations, including filing, data entry, mailings, and special projects.
  • Maintain strict confidentiality of all payroll and employee information.
  • Perform other duties as assigned by management.

Skills:

· General computing skills, organizational skills, and strong analytical skills.

· Proficient in Microsoft Office Suite (Word, Excel, and Outlook), Google Documents, and Access (Database Software).

· Speedy and efficient calculator and typing skills.

· Excellent communication skills, including active listening, verbal, non-verbal, and written communication.

Qualifications:
