Job Description

AECOM is seeking a highly organized and detail-oriented Document Control Manager to support federal infrastructure projects/programs. This position plays a critical role in ensuring the accuracy, integrity, security, and accessibility of project documentation across all phases of project delivery. The ideal candidate will lead document control operations, establish and maintain records management processes, oversee administrative functions, and support multidisciplinary project teams in meeting client, contractual, and regulatory requirements. This position can be located in several cities, including: Robles Junction, AZ; Sonoita, AZ; Casa Grande, AZ; Indio, CA; and San Diego, CA.

Key Responsibilities

  • Lead and manage all records management and document control activities for federal projects and programs.
  • Develop, implement, and maintain document control procedures, standards, and workflows to ensure compliance with company and client requirements.
  • Establish and oversee document management systems, ensuring proper document storage, version control, retention, and retrieval practices.
  • Direct and supervise document control personnel, providing guidance, training, and performance oversight.
  • Coordinate administrative activities across project teams, ensuring efficient workload distribution and resource allocation.
  • Review project documentation for completeness, accuracy, and compliance with contractual and regulatory requirements.
  • Interface with project managers, technical staff, clients, subcontractors, vendors, and regulatory agencies regarding document control processes and deliverables.
  • Monitor and manage document transmittals, correspondence logs, records inventories, and project closeout documentation.
  • Identify process improvement opportunities and implement best practices to enhance document management efficiency and quality.
  • Review and manage office invoices, budgets, and administrative expenditures related to document control operations.
  • Support audits, quality assurance reviews, and records management compliance assessments.
  • Resolve document control issues, administrative challenges, and workflow bottlenecks to maintain project schedules and deliverables.
Qualifications

Minimum Requirements

  • Bachelor’s degree and 6+ years of related document control, records management, or project administration experience or demonstrated equivalency of experience and/or education.

Preferred Qualifications

  • Bachelor’s degree and 10+ years of document control, records management, or project administration experience supporting federal projects.
  • Experience supporting large-scale infrastructure, environmental, transportation, water, or facilities programs for federal agencies.
  • Advanced proficiency with electronic document management systems (EDMS), records management software, and Microsoft Office applications.
  • Demonstrated experience developing and implementing document control procedures and quality management processes.
  • Experience managing project budgets, invoices, and administrative reporting functions.
  • Knowledge of federal records retention requirements, quality assurance procedures, and contractual documentation standards.
  • Strong leadership, organizational, communication, and stakeholder management skills with the ability to coordinate across multiple project teams and locations.
