Job description

We are looking for an experienced legal assistant who can help the busy attorneys and paralegals at our law office assist clients. You’ll be responsible for managing office correspondence, including answering phone calls and emails, arranging meetings and travel, and ensuring our legal team is aware of upcoming deadlines.


You’ll also assist with preparing legal documents and contracts, and perform any other tasks as needed to ensure our firm is operating efficiently. If you work well in a fast-paced environment and consistently deliver a high-quality work product, reach out to us today!

Compensation:

$22 - $26 hourly


Responsibilities:
  • Schedule meetings and appointments for the team, such as depositions, make travel arrangements, and coordinate with outside vendors for events
  • Assist with the creation of various litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents a needed
  • Undertake other duties as needed to ensure the firm operates efficiently
  • Use daily time records to properly process client billing with support from the accounting department
  • Complete legal research as needed under the supervision of attorneys and paralegals
  • Being the first face of the company by speaking with clients with a friendly personality, and tending to clients’ needs with compassion and promptness.
  • Articulating the court process, steps, and status to the clients so they know where they are in the process and what’s next.
  • Making sure there is always a “next step” in the case that is being performed, so the case does not get stalled.
  • Ensuring that no deadlines are missed, that Clients and attorneys are prepared for the hearings, and that you keep the case moving along toward completion.
  • Handle office correspondence and administrative tasks such as responding to emails and phone calls, communicating with opposing attorney offices, taking dictation, and letting the team know about upcoming deadlines.
  • Gathering important information and records so we can prepare documents.
  • Calendaring due dates and following through to ensure none are missed.
  • Managing Google Drive documents (correctly labeling, organizing, and sending to clients).
  • Monitoring the Client Portal and replying to messages or directing them to them
  • Meet your minimum weekly billable hour requirements.

Qualifications:
  • Candidates should have strong organizational skills and communication skills
  • At least 1-2 years of previous experience in a law firm setting performing administrative tasks
  • Comfortable working with all Microsoft Office products
  • Associate’s degree, or some college is preferred; high school diploma or equivalent is necessary
  • Applicants must be able to type 50 words per minute or faster
  • Associate’s degree or equivalent.
  • 2+ years minimum prior experience in a family law environment as a secretary or administrative assistant, or demonstrate a solid understanding of the family law process/procedures.
  • Excellent organizational and project management skills.
  • Excellent written and verbal communication skills.
  • Applicant must be able to type 50 words per minute or faster.
  • Must have a positive attitude, be coachable, and be willing to learn.
  • Must live within commuting distance to the Ontario, CA area or have independent plans for relocation.
  • Applicant must have worked with legal software, case management, and calendaring programs, and be comfortable with using various windows and monitors on a computer.
  • Ability to comfortably use Google Suite products.
