FULL DESCRIPTION: We are seeking a Data Entry Specialist to support sales order entry, customer communication, ERP data entry, order tracking, open order reports, customer portals, and administrative coordination for a life science manufacturing company. This permanent, onsite role is responsible for managing inbound webstore orders, creating sales orders from quotes, entering sales orders and repair requests, sending order confirmations, communicating product availability and delivery dates, working with production on timelines, maintaining accurate records, and responding to customer and sales inquiries. The ideal candidate will have office experience, strong typing and data entry skills, Microsoft Office and ERP or data program experience, excellent written communication, and the ability to stay organized in a fast-paced office environment.

The selected candidate will be responsible for:

  • Managing and monitoring inbound webstore orders
  • Creating sales orders from quotes for new and existing customers and stock items
  • Entering inbound sales orders, repair requests, and repair approvals
  • Sending order confirmations with accurate ship dates
  • Using ERP and related systems to identify product availability
  • Creating planned production orders to establish availability of out-of-stock items
  • Establishing and communicating lead times for stock and out-of-stock items
  • Establishing and creating accurate business accounts for preliminary quoting
  • Converting business accounts to active customers with accurate contact, shipping, and payment information
  • Compiling, verifying, and sorting information according to priorities
  • Researching and obtaining additional information for incomplete orders or documents
  • Communicating with customers regarding sales orders, product availability, shipment delays, delivery dates, and related sales information
  • Working with customer portals and a shared customer service inbox
  • Managing open order reports and communicating with customers as needed
  • Working with customer service when order issues arise
  • Working with production teams to assess delivery timelines for customers
  • Generating reports and storing completed work digitally or manually
  • Scanning, printing, and filing documents digitally as needed
  • Maintaining confidentiality
  • Responding to sales and customer inquiries and accessing relevant files
  • Responding to emails throughout the day and phone calls as needed
  • Complying with data integrity and security policies
  • Collaborating with accounts receivable, assembly, shop, purchasing, customer service, and other departments as needed
  • Supporting accurate and timely sales order processing
  • Performing other duties as assigned

The selected candidate will also possess:

  • Ability to work in an indoor office setting with frequent in-person interactions
  • Ability to occasionally stand, walk, bend, reach, and move throughout the office as needed
