Job description

Specialized Imaging Scheduler

Job Summary: Schedules patients for all radiology examinations and add-ons. Primarily responsible to schedule MRI, CT, US, Echo, and Mammography examinations. Serves as liaison between patient and medical support staff. Answers phones, schedules appointments and takes messages for patients. Enters lab and radiology orders in Electronic Health Record (EHR). Performs a variety of tasks and duties associated with Radiology.

Required Knowledge, Skills, Abilities:

  • Certified in CPR/AED.
  • High School Diploma or equivalent.
  • Working knowledge of Medical terminology.
  • Must be detail orientated. Effective organizational, interpersonal and customer service skills.
  • Skill in establishing and maintaining effective working relationships with patients, staff, providers and the public.
  • Must be able to occasionally accommodate flexible hours and shifts pending department needs.
  • Skill in exercising a high degree of initiative, judgment, discretion, and decision making.
  • Ability to work in a fast paced environment, while keeping close attention to accuracy with minimal supervision.
  • Ability to work independently and as a team participant putting the patient, doctor, and technologist in the best interest of all decisions.
  • Ability to perform data entry in Electronic Health Record (Epic), Patient Management System (Cadence/Radiant), Laboratory Information System (LIS) and Radiology PACS.

Essential Functions:

  • Prioritize patient care and services above all other duties.
  • Assists patients with transportation needs when necessary.
  • Must support safety in the work environment.
  • Practice Universal Precautions when appropriate.
  • Notify department director/manager of any accident or incident to any persons or equipment.
  • Maintain work area in clean, organized and well-stocked condition.
  • Assist other areas outside the film library.
  • Obtain referrals if needed for coordination of insurance benefits.
  • Make appointments for patients per protocol, ability to explain procedure prep in an understandable manner to patients.
  • Cognizant of team responsibilities in a very busy work environment and will tackle group tasks without being told to help.
  • Verify and update necessary information in the appropriate areas of medical records. Input appointment data into automated appointment systems and on patient processing documents as needed. Navigate through the PACS and LIS when appropriate.
  • Refer patients to Credit or Business Office for clarification of insurance coverage as needed.
  • Refer to Patient & Provider Relations for resolution of disputes and/or patient concerns as needed.
  • Scheduling from all work lists.
  • Scanning into EDMS.
  • Accept delegated tasks from leadership.

Modality Specific Functions:

  • Produce high quality scheduling as measured by feedback from Director and Imaging Leads.
  • Follow established imaging protocols.
  • Performs all MQSA and FDA required tracking.
  • Mammography Film Hanging.
  • Epic EDMS scanning.
  • Outside film requests and PACS related workflow.
