Position Summary:
The HR Operations & Benefits Coordinator ensures the accurate, timely execution of NDWA's core HR operations, from records and document preparation to benefits transactions, payroll data, and systems coordination. Reporting to and working closely with the Sr. Manager, HR Operations & Benefits, the Coordinator is a first point of contact for employee HR inquiries and makes sure every detail across assigned People & Culture processes is handled with precision and care. The role does not include recruitment, employment, on/off-boarding, training, performance management, labor relations, or disciplinary actions.
Primary Responsibilities:
HR Operations & Administration
  • Execute assigned core HR operations and administrative processes - status changes, documentation, forms, and transactions - accurately, on time, and in compliance with the workflows set by the Sr. Manager.
  • Maintain organized, accurate, and compliant personnel files and employee records (physical and digital), conducting periodic audits to ensure data integrity.
  • Maintain and improve process documentation, checklists, and standard operating procedures, and support standard and ad hoc reporting.
  • Serve as the first point of execution for assigned transactions, escalating exceptions and non-routine matters to the Sr. Manager.

Benefits & Compensation
  • Execute benefits transactions - enrollments, qualifying-life-event changes, and terminations - across health, retirement, FSA/DCA, STD/LTD, and HRA programs, ensuring accuracy in systems and with carriers.
  • Support annual open enrollment and employee benefits communications, and reconcile monthly benefits billing and invoices.
  • Process compensation and status changes in the HRIS and payroll, and prepare data for audits and compliance filings (e.g., ACA, Form 5500, nondiscrimination testing) under the Sr. Manager's direction.
  • Support leave administration (FMLA, state, and organizational leave) and reasonable-accommodation documentation, and compile market and internal-equity data for the Sr. Manager's pay-equity analyses.

Payroll, Time & Attendance
  • Verify all employee data updates ahead of each payroll cycle to ensure accurate, timely, and compliant payroll, completing assigned payroll tasks in partnership with Finance.
  • Administer and provide back-up support for the time and attendance system - monitoring timesheets, correcting errors, and maintaining data integrity.
  • Respond to routine time and pay inquiries, escalating complex, wage-and-hour, or CBA-related issues to the Sr. Manager.

HRIS, Systems & Compliance
  • Maintain accurate employee data in the HRIS and support data-integrity checks, audits, and clean-up.
  • Support HRIS initiatives - automation, upgrades, and configuration - including user-acceptance testing and documentation.
  • Maintain HR Hub / knowledge-base content and support policy-compliance record-keeping, flagging discrepancies to the Sr. Manager.

Employee Service Delivery
  • Serve as a first point of contact for employee inquiries on benefits, payroll, leaves, and systems, responding accurately, promptly, and warmly, and escalating complex matters to the Sr. Manager.
  • Build and maintain employee-facing resources, FAQs, and process documentation, and track service needs to improve delivery.

Vendor Coordination & Special Projects
  • Support vendor coordination - carrier submissions, discrepancy follow-up, renewal and open-enrollment documentation, and invoice reconciliation - under the Sr. Manager's direction.
  • Provide coordination support on special HR projects and change initiatives, collaborating cross-functionally with Finance, Legal, and Operations.
  • Support the Sr. Director and Sr. Manager with data and preparation for organizational-design and workforce-planning work, and perform other duties as assigned.

Skills & Qualifications
  • Exceptional attention to detail and digital organization, with a high degree of accuracy in data entry and record-keeping.
  • Discretion and professionalism in handling confidential personnel, payroll, and benefits data.
  • Warm, responsive, solution-oriented customer service and strong interpersonal skills.
  • Ability to prioritize, meet deadlines, and work independently in a fast-paced, remote environment.
  • Clear written and verbal communication, and comfort learning and working across HR systems
  • Associate's or Bachelor's degree in human resources, business administration, or a related field (or an equivalent combination of education and experience).
  • 2-4 years of experience in HR administration, HR operations, benefits, and/or payroll support.
  • Working knowledge of core HR processes, benefits administration, and/or payroll, including familiarity with FMLA and leave administration.
  • Proficiency in Google Workspace and Excel, with comfort working across HRIS, payroll, and benefits systems.
  • Strong analytical, organizational, and communication skills, with rigorous attention to detail and a commitment to confidentiality.
  • Alignment with NDWA's mission, vision, and values, and an understanding of the issues facing low-wage workers, immigrant communities, and women of color.
  • Experience in a nonprofit and/or unionized environment, and familiarity with benefits compliance (e.g., ACA, Form 5500), preferred.
