Position Summary
The HR & Payroll Assistant is a key member of the Human Resources team, reporting directly to the HR Manager and supporting the day-to-day execution of HR, payroll, and office operations. This role plays an important part in delivering an exceptional employee experience by supporting the employee lifecycle, maintaining accurate HR records, assisting with payroll administration, coordinating leave and workers' compensation processes, and ensuring HR operations remain organized, compliant, and efficient.
As a central resource for employees, visitors, and internal teams, the HR & Payroll Assistant also helps coordinate daily office operations and provides administrative support that keeps our headquarters running smoothly. The ideal candidate is highly organized, proactive, customer-focused, and thrives in a fast-paced, collaborative environment while handling confidential information with professionalism and discretion.
Key Responsibilities:
  • Support the day-to-day operations of the Human Resources department by providing administrative support across HR, payroll, compliance, and office operations.
  • Coordinate new hire onboarding, including preparing employment documentation, entering employee information into HRIS systems, scheduling orientations, and ensuring all required paperwork is completed.
  • Maintain accurate employee personnel files, HR records, and employment documentation in compliance with company policies and applicable laws.
  • Process employee status changes, including promotions, transfers, compensation changes, and separations.
  • Monitor employee time and attendance records, review timecards for accuracy, and partner with supervisors to resolve discrepancies.
  • Assist with payroll preparation, including timecard validation, payroll data entry, payroll audits, and payroll reporting to ensure timely and accurate payroll processing.
  • Respond to employee inquiries regarding payroll, company policies, HR procedures, employment verification, benefits, and general HR-related matters.
  • Assist with the administration and tracking of employee leaves of absence, including FMLA, CFRA, Pregnancy Disability Leave (PDL), ADA accommodations, and other protected leaves.
  • Coordinate the intake and documentation of workers' compensation claims, maintain claim records, and assist with return-to-work documentation.
  • Maintain OSHA logs, safety records, incident reports, and other compliance documentation.
  • Support HR audits, compliance initiatives, and maintain HR reports, tracking logs, and departmental records.
  • Coordinate recruiting activities, including interview scheduling, candidate communications, background check administration, and pre-employment onboarding tasks.
  • Assist in planning and coordinating employee engagement initiatives, company events, recognition programs, wellness activities, and other culture-building programs.
  • Serve as the primary point of contact for employees, visitors, vendors, and deliveries at the corporate office.
  • Answer and direct incoming phone calls while providing a professional and welcoming front office experience.
  • Coordinate office supply inventory, place orders, distribute mail, manage shipments, and help maintain an organized, professional office environment.
  • Assist with conference room scheduling, meeting coordination, catering, company events, and general office administrative duties.
  • Maintain the highest level of confidentiality when handling employee information and sensitive business matters.
  • Perform other duties and special projects as assigned.

Qualifications:
  • Associate's degree in Human Resources, Business Administration, or a related field preferred; equivalent combination of education and experience will be considered.
  • 1-3 years of experience in Human Resources, Payroll, Office Administration, or a related administrative support role.
  • Experience supporting payroll processing, timekeeping, or HR administration preferred.
  • Experience using Rippling, ADP, or a comparable Human Resources Information System (HRIS), payroll, and timekeeping platform preferred.
  • Basic knowledge of California employment laws, including wage and hour regulations, FMLA/CFRA, ADA accommodations, workers' compensation, and OSHA requirements is preferred.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams; experience with Google Workspace is a plus.
  • Excellent organizational, time management, and multitasking skills with exceptional attention to detail.
  • Strong verbal, written, and interpersonal communication skills with a customer-service mindset.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee and company information.
  • Ability to work independently while collaborating effectively with cross-functional teams in a fast-paced, growth-oriented environment.
  • Experience planning employee events, coordinating office activities, or supporting employee engagement initiatives is a plus.
  • Experience supporting a manufacturing, warehouse, distribution, retail, e-commerce, or consumer products environment is preferred.
  • Must be legally authorized to work in the United States for any employer without current or future employment visa sponsorship.

Physical Requirements and Environmental Conditions
  • Prolonged periods of sitting and working at a computer.
  • Regular use of standard office equipment, including computers, telephones, printers, copiers, and other office technology.
  • Frequent walking throughout the office and occasional walking through warehouse or production areas to support HR activities.
  • Ability to occasionally lift and move up to 20 pounds, such as office supplies, packages, or event materials.
  • Ability to bend, stoop, reach, and carry materials as needed for office operations and employee events.
  • May occasionally be required to set up or assist with company meetings, training sessions, employee engagement activities, and special events.
  • Work is primarily performed in a professional office environment with occasional exposure to warehouse conditions, including varying temperatures, noise levels, and moving equipment.

This salary range is provided in compliance with applicable state and local pay transparency laws. Final compensation will be determined based on experience, skills, geographic location, and performance.
