Job description

We are looking for a detail-oriented and organized HR Admin Assistant to join our team on a part-time basis. In this role, you will provide essential administrative support to our HR department, helping to keep day-to-day people operations running efficiently in a fast-paced manufacturing environment.
Job Title: HR Administrative Assistant
Department: Humans Resources
Reports To: HR Manager
Shift/Schedule: Part-time/Days (20-25 hours/week)
FLSA: Hourly Non-Exempt
Supervisory Responsibilities: No
Job Purpose
The HR Assistant provides high-level administrative partnering with Human Resources to enhance employee engagement, wellness, and workplace culture. This role requires discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

Essential Duties and Responsibilities

  • Assist payroll with timecard reviews, attendance tracking, PTO requests, and payroll-related data entry, and maintain employee records to ensure accuracy and compliance.
  • Plan and support employee engagement events, recognition programs, retirement celebrations, milestone celebrations, and summer/company-sponsored events.
  • Coordinate company-wide wellness initiatives, health programs, on-site blood drives, and other employee-focused activities.
  • Administer employee engagement touchpoints, including 30- and 90-day new hire surveys, 60-day welcome gifts, and maintenance of anniversary and birthday calendars.
  • Draft new employee introduction bio emails.
  • Assist with coordination of lodging and accommodation for out-of-town guests, customers, and employment candidates as needed.
  • Support the primary point of contact for executive travel, visitor logistics, and scheduling, exercising discretion and professionalism.
  • Draft, design, and distribute the monthly company newsletter to support internal communications and engagement.
  • Support HR administrative functions, including document preparation, filing, data management, and internal communications.
  • Handle sensitive executive, payroll, and employee information.
  • Collaborate cross-functionally with HR, payroll, operations, and other teams to ensure smooth execution of executive support, employee programs, and administrative processes.
  • Maintain an organized, clean, and safe work environment in accordance with 5S standards.
  • Perform additional duties and special projects as assigned.

Qualifications/Education/Skills
  • High school diploma or equivalent required.
  • Must be able to read, write and understand English
  • Previous experience working within a highly confidential and payroll environment preferred.
  • Proficient in Microsoft Office applications, including Excel, Word, Outlook, and Teams (familiarity with Canva is preferred).
  • Previous administrative or clerical experience required.
  • Previous activities coordination experience preferred.
  • Highly organized with strong attention to detail.
  • Ability to prioritize workload to meet deadlines and business needs.
  • Ability to communicate effectively, both verbally and in writing, with internal teams and external partners.
