Description

 The Administrative and Program Manager is responsible for providing high-level administrative, billing, compliance, and data management support to the CLA (Community Living Arrangements) program. This role ensures accurate billing, documentation integrity, staff compliance tracking, and efficient office operations.


 Schedule Available:  8am - 4pm: Monday - Friday 


Contributions:  


Administrative Support

  • Phone and voicemail management.
  • Meeting scheduling and Outlook calendar management.
  • Office support including inventory, supplies, mail, printing, and organization.
  • Liaison support with CLA and Verland administrative staff.
  • Filing systems for billing, invoices, charts, reports, compliance.
  • Document creation including spreadsheets, trainings, and forms.
  • Intranet content posting for CLA.
  • Note taking during CLA meetings as directed

Billing & Financial Responsibilities

  • Assist billing and program staff with service units for CLA individuals/liaison between CLA and AE. 
  • Liaison with CLA and CAO regarding waiver renewal/ recertification.

Client Chart & Documentation Compliance

  • Create, update, maintain, and discharge charts from ICM.
  • Maintain master client list and CLA database.
  • Track monthly reporting and cross-reference documentation.
  • Support paperless documentation initiatives.

Staff Compliance & Credential Tracking

  • Residential staff tracking (trainings, medical requirements, licenses).
  • Monthly background checks (SAM, MediCheck, Exclusions).
  • QA/inspection tracking for fire drills, inspections, forms.

Data Entry, Reporting & Analysis

  • Collect, compile, and analyze administrative, compliance, and training data.
  • Produce reports, charts, and dashboards.
  • Improve documentation workflows and digital processes.
  • Maintain policy and procedure documentation.

Additional Duties

  • Assign therapists in HCSIS.
  • Assist with incident management, regulatory compliance, HRST tasks.
  • Support CLA leadership as needed.
