Human Resources amp; Accounting Assistant
Job Title: Human Resources amp; Accounting Assistant
Department: Human Resources / Accounting
Reports To: Human Resources Manager and Controller/Accounting Manager
FLSA Status: Non-Exempt
Position Summary
The Human Resources amp; Accounting Assistant is responsible for providing comprehensive administrative support to both the Human Resources and Accounting departments, with a primary focus on accounting and bookkeeping functions. This position performs accounts payable, accounts receivable, payroll support, reconciliations, and general accounting duties while also assisting with HR administration, employee records, benefits administration, onboarding, and payroll-related activities. The ideal candidate is highly organized, detail-oriented, and capable of maintaining confidentiality while managing multiple priorities in a fast-paced manufacturing environment.
Essential Duties and Responsibilities
Accounting Responsibilities (Primary Focus)
  • Process and maintain accounts payable, including reviewing invoices for proper documentation and approval prior to payment.
  • Match, batch, code, and enter vendor invoices into the accounting system.
  • Process accounts payable check runs and electronic payments.
  • Maintain accounts receivable records, including posting payments, cash applications, and deposit entries.
  • Reconcile customer accounts, vendor statements, and general ledger accounts.
  • Research and resolve discrepancies related to accounts payable, accounts receivable, and customer/vendor inquiries.
  • Prepare and maintain accounting spreadsheets, reports, and supporting documentation.
  • Assist with payroll reconciliations, payroll postings, and payroll-related reporting.
  • Support month-end and year-end closing activities.
  • Verify the accuracy of financial data, reports, figures, and postings.
  • Maintain organized accounting records and filing systems.
  • Assist with audits and provide supporting documentation as needed.
  • Ensure compliance with company policies, accounting procedures, and internal controls.
  • Perform data entry and other clerical accounting functions as assigned.
Human Resources Responsibilities
  • Maintain accurate and up-to-date employee files, records, and HR documentation.
  • Assist employees and applicants with routine questions regarding company policies, benefits, payroll, and employment procedures.
  • Maintain confidentiality and integrity of personnel records.
  • Conduct periodic audits of employee files to ensure compliance and completeness.
  • Assist with onboarding activities, including new hire paperwork and orientation.
  • Serve as a liaison between employees and benefit providers regarding benefits and 401(k) administration.
  • Provide administrative support to the Human Resources Manager.
  • Assist with payroll processing and employee payroll inquiries.
  • Support employee engagement activities, recognition programs, meetings, and company events.
  • Assist with recruiting, scheduling interviews, and maintaining applicant records.
  • Perform other HR-related duties as assigned.
Required Skills and Abilities
  • Strong understanding of accounting principles, bookkeeping practices, and financial recordkeeping.
  • Proficiency in accounts payable, accounts receivable, reconciliations, and payroll support functions.
  • Advanced Microsoft Excel skills, including formulas, spreadsheets, and reporting.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Experience with accounting software; Sage experience preferred.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Ability to handle confidential financial and employee information with professionalism and discretion.
  • Strong verbal and written communication skills.
  • Ability to prioritize multiple tasks and meet deadlines with minimal supervision.
  • Excellent problem-solving and customer service skills.
Education and Experience
  • High School Diploma or GED required.
  • Associate degree in Accounting, Business Administration, Human Resources, or related field preferred.
  • Minimum of 1–3 years of accounting, bookkeeping, accounts payable, accounts receivable, or payroll experience required.
  • Prior human resources or administrative office experience preferred.
  • Experience in a manufacturing environment is a plus.
Working Conditions
  • Primarily office-based environment.
  • Frequent use of computers, accounting software, payroll systems, and office equipment.
  • Ability to sit for extended periods and perform detailed administrative work.
