Job description

The Artist Manager Assistant plays a crucial role in supporting the artist manager and the A-list music artists they represent. The Assistant plays a vital role in helping the artist manager and the artist focus on a successful career and their creative work while ensuring that all the necessary logistics and administrative tasks are taken care of efficiently. This role requires very strong organizational skills, attention to detail, flexibility, and a passion for music artist management. Ability to handle sensitive information with discretion and always maintaining confidentiality. The ideal candidate is proactive rather than reactive and demonstrates the ability to anticipate needs before they arise.

This position is on-site 5 days a week with possible weekend and evening responsibilities as needed and occasional travel.

Responsibilities Include, but are not limited to:

Administrative and Organizational:

  • Administrative tasks including, managing and maintaining a high-volume calendar, scheduling appointments and meetings, phone calls, emails, and other forms of communication.
  • Organizing and maintaining files and documents.

Artist and Project Coordination:

  • Assist in coordinating artist projects including album releases, tours, promotional campaigns, television appearances, brand partnerships, and special events.
  • Track project timelines and ensure deadlines are met across multiple stakeholders.
  • Maintain artist schedules and communicate schedule updates to internal and external teams.
  • Coordinate logistics for recording sessions, rehearsals, photoshoots, video shoots, press appearances, and events.

Tour and Live Event Support:

  • Assist with advancing local shows and appearances.
  • Coordinate hospitality, credential requests, guest lists, and ticketing needs.
  • Liaise with tour managers, production teams, promoters, venues, and booking agencies.
  • Support artist appearances, showcases, premieres, and industry events.

Team and Industry Communication:

  • Serve as a point of contact between management, agents, attorneys, business managers, publicists, record labels, publishers, and other partners.
  • Maintain contact databases and distribution lists.
  • Draft professional correspondence on behalf of management and artists.

Travel Management:

  • Coordinate complex domestic and international travel itineraries.
  • Monitor travel schedules and proactively resolve travel-related issues.
  • Assist with passport, visa, immigration, and travel documentation requirements when needed.

Business Operations:

  • Prepare meeting agendas and take detailed notes during internal and external meetings.
  • Track action items and follow up to ensure completion.
  • Assist with expense reporting, invoice tracking, and vendor payments.
  • Maintain organized digital filing systems and project documents.

Social Media and Digital Support:

  • Monitor artist social media accounts for urgent matters and opportunities.
  • Assist with content scheduling and digital asset organization.
  • Track social media trends, cultural moments, and artist-related news.

Research & Strategic Support:

  • Conduct research on potential opportunities, partnerships, sponsorships, media outlets, festivals, and industry trends.
  • Prepare briefing materials for meetings, interviews, media appearances, and industry events.
  • Monitor competitive artist activity and industry developments.

Personal Support:

  • Coordinate personal appointments and lifestyle management needs when required.
  • Handle confidential personal matters with professionalism and discretion.
  • Assist with special projects and personal requests on behalf of artists and management.

Preferred Qualifications:

  • Minimum 1+ years of industry experience required, prior experience in artist management, music, entertainment, live events, talent representation, or a related field.
  • Highly organized with an impeccable attention to detail, follow-through and sense of urgency.
  • Strong communication skills and a high level of professionalism.
  • A positive and enthusiastic attitude, with a can-do approach to challenges.
  • Able to handle sensitive and confidential information with the utmost professionalism and discretion.
  • Exceptional multitasking abilities and effective problem-solving skills.
  • A valid driver's license and vehicle is required.
  • Proficiency in Google Workspace, Microsoft Office, and project management tools.
  • Ability to work effectively in high-pressure environments and adapt quickly to changing priorities.
  • Strong written and verbal communication skills.
  • Passion for music, entertainment, and artist development.

Compensation & Benefits

  • Compensation: $21-24 per hour, based on experience, plus eligibility for an annual discretionary bonus.

Location & Work Schedule

  • Our office is located in Westwood. This position is 100% on-site, five days per week, and may require occasional evening and weekend work based on business needs, as well as periodic travel.
