Medical Receptionist Position Summary:

We are seeking a dedicated and personable Front Office Medical Receptionist to join our small, private family medicine practice. The ideal candidate will be the first point of contact for our patients and will play a crucial role in ensuring the smooth operation of our front office. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities:

  • Patient Interaction:

    • Greet patients warmly and professionally upon arrival.
    • Check patients in and out, ensuring all necessary information is collected and accurately entered into the system.
    • Answer phone calls, schedule appointments, and manage the practice’s appointment calendar.
    • Provide patients with necessary forms and assist with their completion as needed.
    • Address patient inquiries and provide information about the practice’s services and policies.
  • Administrative Duties:

    • Verify patient insurance information and handle pre-authorizations as required.
    • Collect co-pays and other payments, and provide receipts.
    • Maintain and update patient records, ensuring confidentiality and compliance with HIPAA regulations.
    • Prepare and manage correspondence, including emails, faxes, and mail.
    • Order and manage office supplies and ensure the front office area is clean and organized.
  • Coordination and Communication:

    • Coordinate with medical staff to ensure efficient patient flow and minimize wait times.
    • Communicate effectively with patients, medical staff, and other team members.
    • Assist with the preparation of patient charts and ensure all necessary documentation is available for medical staff.
  • Technology and Systems:

    • Utilize electronic health record (EHR) systems to manage patient information, experience with Athena preferred.
    • Operate office equipment such as computers, printers, and fax machines.

Qualifications:

  • High school diploma or equivalent; additional certification in office administration or medical reception is a plus.
  • Previous experience in a medical office or healthcare setting preferred.
  • Proficiency in using EHR systems and other office software - previous use of Athena preferred.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Friendly and compassionate demeanor with a focus on patient care.

Working Hours:

  • Full-Time: 40 hours per week, Monday through Friday.
  • Part-Time: Flexible hours, with a minimum of 20 hours per week.
