Please join our Purchasing Team as a Purchasing Supervisor.
Position Summary
The Purchasing Supervisor is responsible for overseeing the hotel's purchasing operations while ensuring compliance with company policies, brand standards, and established purchasing guidelines. This role supports daily hotel operations by maintaining inventory levels, receiving deliveries, managing storeroom organization, and ensuring the efficient flow of goods throughout the property. The Purchasing Supervisor is also responsible for maintaining a clean, organized, and safe loading dock, receiving area, and trash/recycling room to support hotel cleanliness and operational efficiency.
Reporting directly to the Director of Purchasing, the Purchasing Supervisor plays a critical role in maintaining accurate inventory, supporting all hotel departments, and ensuring a clean, organized, and safe receiving environment.
Responsibilities include but not limited to:
  • Oversee the daily purchasing and receiving functions for the hotel.
  • Order food, beverage, operating supplies, and other products to meet operational needs.
  • Receive, inspect, and verify all incoming deliveries for quality, quantity, and accuracy.
  • Check in and distribute guest packages and internal deliveries promptly.
  • Maintain accurate inventory records and conduct regular physical inventory counts.
  • Rotate inventory using FIFO (First In, First Out) practices to minimize waste and ensure product freshness.
  • Maintain organization and cleanliness of all storerooms.
  • Maintain a clean, organized, and safe trash room, loading dock, receiving area, and surrounding workspaces, ensuring compliance with Hyatt standards and local health and safety regulations.
  • Coordinate outgoing shipments and package deliveries.
  • Work closely with department leaders to fulfill purchasing requests and resolve supply issues.
  • Ensure compliance with food safety standards and company purchasing policies.
  • Maintain purchasing documentation and records accurately.
  • Assist the Director of Purchasing with vendor relationships, inventory control, cost management, and other purchasing initiatives as assigned.

Qualifications:
Required
  • A genuine desire to satisfy the needs of others in a fast-paced hospitality environment.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to multitask and work independently with minimal supervision.
  • Proficiency in Microsoft Excel and Word.
  • Experience using BirchStreet or similar procurement software.
  • Ability to lift, push, pull, and carry up to 50 pounds.
  • Ability to work a flexible schedule, including weekends and holidays.
  • Valid Oregon State Food Handler Card (or ability to obtain upon hire).
Preferred
  • Previous hotel purchasing, receiving, warehouse, or inventory control experience.
  • Experience with inventory management and purchasing systems.
  • Knowledge of food and beverage receiving procedures and inventory rotation practices.
Physical Requirements
  • Frequently stand, walk, bend, stoop, and lift throughout the shift.
  • Lift and move products weighing up to 50 pounds.
  • Work in receiving, storeroom, loading dock, warehouse, and outdoor receiving environments as needed.
