Role Description:

Reporting to the Community Manager, the Assistant Community Manager is responsible for the administration andleasing functions at the property. The Assistant Community Manager is responsible for the implementation and
execution of resident relations and engagement programs, including the planning and execution of residentappreciation events. All duties will be completed while upholding QuadReal's mission, vision, and values serving asa brand and cultural ambassador for our residents, co-workers, vendors, and public

Responsibilities:

  • Assist the Community Manager in overseeing the day-to-day operations of the property, ensuring smooth and efficient functioning.

  • Conduct regular property inspections and report any maintenance or safety concerns

  • Coordinate maintenance requests and follow up to ensuretimelycompletion of repairs.

  • Assistin organizing preventive maintenance schedules for the property.

  • Serve as a point of contact for tenants, responding to inquiries, addressing concerns, and providing exceptional customer service.

  • Assistwith lease administration, including processing new leases, lease renewals, and terminations.

  • Maintain positive tenant relations by addressing issues ina timelyand professional manner.

  • Assistin enforcing lease agreements and property rules and regulations.

  • Help with move-in/move-out processes, including conducting inspections and preparing rental homes/sites for new tenants.

  • Promote a positive community atmosphere by addressing tenant concerns and fostering good relationships.

  • Assistin marketing available rental units, including updating listings, coordinating showings, and responding to prospective tenant inquiries.

  • Assistwith tenant screening, including processing applications, conducting background checks, and gathering references.

  • Prepare and review leasing documents, ensuring accuracy and compliance with company policies and legal requirements.

  • Carry out lease administration

  • Maintainaccuraterecords of all transactions, maintenance requests, and resident interactions.

  • Perform general administrative duties, such as answering phone calls, emails, andmaintainingtenant files.

  • Prepare and distribute notices to tenants, including rent reminders, policy updates, and other important communications.

  • Assistwith rent collection and ensuretimelypayment by tenants. Follow up on overdue payments andassistwith issuing late notices.

  • Assistin managing property budgets and ensuring expenditures stay within budgetary limits.

  • Collect rent and managelate paymentissues, including issuing notices for non-payment.

  • Assistin preparing the property for inspections and ensuring compliance with health, safety, and building codes.

  • Help the Community Manager manage evictions and legal notices, ensuring proper procedure is followed.

  • Familiarity with local, tenancy laws and regulations.

Experience and Qualifications:

  • Experience in Property Management, Hospitality, or other closely related industries

  • Post-secondary education preferred

  • Strong attention to detail, problem-solving, ability to multitask

  • Must be a self-starter with a high degree of initiative, flexibility, and professionalism

  • Superior ability to develop and sustain cooperating working relationships with staff, contractors, the public and residents

  • A passion for excellence in customer service delivery

  • Ability to work flexible hours

  • Knowledge of Yardi Voyager and MS Office (Word, Excel, Outlook, and PowerPoint)

  • Familiarity with smart phone and tablet technology
