Job description

HOA Community Manager Assistant

We are seeking a highly organized and detail-oriented HOA Community Manager Assistant to support our management team and help ensure smooth day-to-day operations for multiple homeowners associations.

Hours: 8:00 AM – 4:30 PM

Key Responsibilities

Management Support Duties:

  • Answer and field phone calls when Managers are out of the office, ensuring homeowners and Board members always reach a live, helpful contact
  • Assist walk-in homeowners with various requests in the Manager’s absence
  • Process mailings (copying, folding, stuffing, and postage)
  • Send out bid requests and follow up on submissions
  • Issue work orders as needed
  • Prepare and send violation letters, hearing notices, and hearing result letters
  • Manage pool keys and parking passes, including inventory and ordering
  • Issue Insurance Certificates and track policy expiration dates (maintain tracking spreadsheet)
  • Send Welcome Packets to new homeowners
  • Maintain meeting minute books (electronic and physical copies)
  • Complete weekly filing for each HOA
