This position serves as the operational backbone of the Talent Acquisition function, coordinating interviews, managing candidate communications, maintaining recruiting systems and data, and supporting sourcing and hiring initiatives across the organization.

The ideal candidate is highly organized, detail-oriented, and proactive, with a passion for creating efficient processes and building strong relationships with candidates, hiring managers, and cross-functional stakeholders.

Core Responsibilities

  • Schedule and coordinate candidate interviews across multiple time zones, ensuring seamless communication between candidates, hiring managers, and interview teams.

  • Manage interview logistics, including calendar coordination, Outlook invitations, room reservations, agendas, and candidate guidance.

  • Serve as a primary point of contact for candidates throughout the hiring process, delivering a professional and positive candidate experience.

  • Send, track, and manage candidate assessments, ensuring timely completion and accurate recordkeeping.

  • Maintain accurate candidate, requisition, and hiring data within applicant tracking systems (ATS), HRIS platforms, and recruiting databases.

  • Manage job description administration, including maintaining a current job description library, coordinating updates with hiring managers, and posting positions to job boards and company career sites.

  • Conduct sourcing activities through LinkedIn and other recruiting platforms to support active searches and future talent pipeline development.

  • Assist with offer letter preparation, pre-employment screening coordination, and new hire pre-boarding activities.

  • Generate and maintain recruiting reports, dashboards, and hiring metrics using Excel and other reporting tools.

  • Build and maintain talent pipelines and candidate databases for recurring and high-volume hiring needs.

Additional Responsibilities

  • Partner with HR and People teams on employer branding initiatives, recruiting events, career fairs, and talent attraction strategies.

  • Support continuous improvement of recruiting processes, workflows, documentation, and candidate experience initiatives.

  • Assist with special projects related to talent acquisition, workforce planning, and recruiting operations.

  • Collaborate with hiring managers and internal stakeholders to ensure recruiting processes are efficient, organized, and scalable.

Requirements:

  • 1–2 years of experience in recruiting coordination, administrative support, human resources, or a related operational role.

  • Strong organizational and time-management skills with exceptional attention to detail.

  • Experience coordinating complex schedules across multiple stakeholders and time zones.

  • Proficiency with Microsoft Outlook for calendar management and professional communication.

  • Working knowledge of Microsoft Excel, including filters, pivot tables, and basic formulas.
