Limitless Life Counseling, LLC, an established and growing mental health practice in Meridian, Idaho, is seeking a Full-Time Client Care Coordinator to join our team.


Our Client Care Coordinators are an essential part of Limitless. They are often the first voice a new client hears, the first person a client sees when they walk through our doors, and an important connection between our clients, clinicians, providers, insurance companies, and administrative team.


We are looking for someone who is professional, dependable, organized, compassionate, energetic, and able to thrive in a busy environment where priorities can change quickly.

Our practice serves individuals, families, children, adolescents, adults, and couples. Because we work in mental health, professionalism, confidentiality, compassion, good judgment, and attention to detail are extremely important.

About the Position

The Client Care Coordinator works collaboratively with our administrative and clinical teams and reports to the Office Manager. This is a hands-on position involving client service, scheduling, insurance verification, front desk responsibilities, communication, billing support, and day-to-day office operations.

The ideal candidate is someone who enjoys working with people, can comfortably manage multiple responsibilities at once, and understands that excellent client care begins before a client ever enters the counseling office.


Responsibilities

Responsibilities include, but are not limited to:

  • Manage front desk and reception responsibilities in a professional, welcoming, and confidential manner.
  • Answer and manage a multi-line telephone system while providing excellent customer service.
  • Greet clients, families, providers, and visitors and assist them appropriately.
  • Schedule, cancel, and reschedule client appointments using our scheduling and Electronic Health Record systems.
  • Check clients in and ensure registration and demographic information is complete and accurate.
  • Verify insurance eligibility, benefits, client demographics, and required referrals or authorizations.
  • Maintain accurate client information and records in accordance with HIPAA and office policies.
  • Collect co-pays, deductibles, outstanding balances, and other client payments.
  • Obtain and maintain appropriate payment and credit card authorizations.
  • Assist with billing entries, insurance information, data entry, and other administrative functions.
  • Balance and reconcile daily financial transactions as required.
  • Communicate professionally and effectively with clients, clinicians, insurance companies, medical providers, and other members of the Limitless team.
  • Assist clinicians and administrative staff with day-to-day office needs.
  • Protect confidential and sensitive client information at all times.
  • Help maintain an organized, professional, efficient, and positive office environment.
  • Work as part of a team and assist coworkers when additional support is needed.


Required Qualifications

  • Previous experience in a medical, mental health, insurance, billing, receptionist, administrative, office clerical, or customer service position, preferably within a healthcare environment.
  • Strong computer skills and proficiency with Windows-based programs and standard office software.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and accuracy.
  • Ability to communicate professionally with clients who may be experiencing stressful or difficult situations.
  • Ability to maintain strict confidentiality and comply with HIPAA requirements.
  • Dependable, punctual, reliable, and committed to being part of a team.
  • Professional appearance, communication, and conduct.
  • Positive, energetic, client-focused attitude.
  • Ability to remain calm, professional, and organized in a busy office environment.


Preferred Qualifications

  • Two or more years of experience in medical or mental health client care, front office operations, or a related healthcare setting.
  • High School Diploma or equivalent required; Associate or Bachelor's Degree preferred.
  • Experience with Electronic Health Record (EHR) or medical scheduling systems.
  • Experience using multi-line telephone systems.
  • Experience with insurance eligibility and benefit verification.
  • Familiarity with medical or mental health billing processes.
  • Strong data-entry and administrative skills.
  • Demonstrated ability to work successfully as part of a team.
