Job Title: Project Accountant (Ajera/SCA Billing)
Job Description
This role joins a small accounting team at an architecture firm to provide immediate support across project billing and day-to-day accounting operations. You will work primarily in Ajera to manage project setup, billing, and reporting while helping to clear a backlog and stabilize existing processes. The position offers the opportunity to make a visible impact, improve billing workflows, and contribute to a complex billing environment that includes School Construction Authority (SCA) projects.
Responsibilities
  • Manage project billing using Ajera, including project setup, fee structures, tracking, and invoice generation.
  • Handle School Construction Authority (SCA) billing processes, ensuring all documentation, formatting, and compliance requirements are met.
  • Support accounts receivable activities, including invoice creation, tracking, and collections follow-up.
  • Partner closely with project managers to validate billing accuracy, resolve discrepancies, and confirm approvals before invoicing.
  • Own billing cycles from initiation through completion across multiple projects to reduce delayed invoicing and improve cash flow.
  • Navigate job cost tracking and client invoicing within Ajera to maintain accurate financial data and project reporting.
  • Assist with cleanup of delayed or incomplete accounting tasks, including addressing reporting gaps and backlog items.
  • Provide general accounting support such as reconciliations, journal entries, and assisting with month-end close activities.
  • Support architecture and engineering (A&E) accounting cycles, including project-based revenue recognition and contract-related workflows.
  • Help address process inefficiencies, recommend improvements, and contribute to more consistent billing workflows.
  • Ensure invoices meet strict client standards and deadlines, particularly for SCA-related projects.
  • Work collaboratively with leadership and the existing comptroller to support ongoing accounting priorities and special projects.
  • Contribute to improved collections and reduced outstanding balances by monitoring aging accounts receivable and following up as needed.
  • Utilize Excel, including pivot tables, to analyze financial data, support reporting, and assist with general ledger activities.
  • Assist with benefits accounting and fraud remediation efforts as needed within the broader accounting function.

Essential Skills
  • Hands-on experience with Ajera (Ajera ERP) for project setup, billing, job cost tracking, and financial reporting.
  • Demonstrated experience managing complex project billing, preferably within architecture or engineering (A&E) firms.
  • Proficiency with SCA billing, including handling School Construction Authority documentation, compliance, and strict invoicing standards.
  • Strong background in accounts receivable and invoicing, including collections follow-up and backlog cleanup.
  • Experience supporting architecture and/or engineering firm accounting cycles, including project-based revenue recognition and contract-driven workflows.
  • Ability to work with general ledger activities, journal entries, and month-end close processes.
  • Proficiency with Excel, including the use of pivot tables for data analysis and reporting.
  • High attention to detail and accuracy when working with financial data and project billing.
  • Ability to work independently with minimal training and quickly contribute to backlog cleanup and process stabilization.
  • Strong communication skills for collaborating with leadership, project managers, and accounting team members.
