Job description

Position Summary
The Hearth & Garage Door Customer Coordinator serves as a key operational support role within a warehouse-based HVAC showroom environment. This position bridges customer service, warehouse operations, and administrative functions to ensure seamless order processing, inventory coordination, and customer satisfaction.
This role supports high-volume, hearth sales orders while also assisting with garage door and HVAC-related product coordination. The Coordinator is expected to take initiative, manage competing priorities, and contribute to operational efficiency while maintaining a strong customer-focused approach.
Position Responsibilities
May include:
  • Provide professional and responsive customer service for hearth, garage door, and HVAC-related inquiries
  • Serve as a primary point of contact for a high-volume hearth customer, ensuring accurate and timely order fulfillment
  • Process and manage sales orders, purchase orders, RMAs, debit memos, and branch transfers
  • Coordinate with warehouse staff to pull, stage, and load large products for customer pickup or delivery
  • Assist with physical warehouse duties including lifting, moving, and loading heavy hearth and garage door materials
  • Maintain accurate system records within ERP systems (e.g., Williams) for orders, inventory, and customer data
  • Partner with vendors and internal teams to resolve order discrepancies, backorders, and delivery issues
  • Support inventory accuracy through cycle counts, tracking, and reconciliation activities
  • Ensure timely and accurate invoicing and assist with basic accounting processes as needed
  • Maintain organization and cleanliness of showroom and warehouse areas
  • Identify process improvements and support implementation with leadership
  • Participate in team meetings and collaborate across departments to support business needs
  • Perform additional duties and projects as assigned

Knowledge & Skills
  • Strong communication skills for customer interaction and internal coordination
  • Problem-solving mindset with attention to detail and accuracy
  • Ability to work both independently and collaboratively
  • Comfort working in a warehouse/showroom setting with both desk and physical responsibilities
  • Experience in HVAC, hearth, garage doors, or building materials industry preferred

Experience
  • Customer service, warehouse coordination, or operations experience required
  • Experience supporting high-volume or key customer accounts preferred
  • Industry experience in HVAC, hearth, garage doors, or related field preferred

  • Must be able to lift, move, and load heavy products (including large hearth and garage door materials)
  • Must be able to stand, walk, and perform physical warehouse duties for extended periods
